This position will be based in our Stapylton Depot. You will play a pivotal role in compiling the end-to-end tender submission process, ensuring that all proposals are completed to a high standard and submitted on time. You will collaborate closely with internal teams and external stakeholders to gather required documentation and information, providing critical support in editing, formatting, and reviewing tender documents. Your attention to detail, time management skills, and ability to adapt quickly to varying industries and business areas will be key to your success in this role. Key Responsibilities: Tender Preparation & Coordination: Coordinate tender submissions from start to finish, ensuring all deadlines are met and submissions are compliant with client requirements. Review tender documents thoroughly to understand submission requirements, identify key deliverables, and assign roles and responsibilities to other contributors Liaise with internal teams, including subject matter experts and project supervisors to obtain necessary input/documentation for tender responses. Collaborate with external stakeholders when required to ensure timely and accurate submission of supplementary documents and information. Editing & Formatting: Develop, edit and format tender documents in Microsoft Word, ensuring consistency, clarity, and professional presentation. Perform proofreading and quality checks to ensure documents are free of errors and align with company branding and submission requirements. Utilize Adobe Acrobat for the creation and management of PDF documents, ensuring compliance with client requirements. Project Management & Organisation: Manage multiple tender projects simultaneously, adapting to changing priorities and deadlines while maintaining a high level of attention to detail. Use Microsoft SharePoint, Microsoft Excel, and Microsoft Project for document management, project tracking, and timeline coordination. Build and manage a comprehensive digital library of documents, templates, and resources for future tender submissions, ensuring quick and efficient access to information. Monitor tender progress and provide regular updates to stakeholders on key milestones and submission status. Stakeholder Management: Build and maintain strong relationships with internal and external stakeholders, ensuring effective communication and collaboration throughout the tender process. Facilitate and manage stakeholder meetings to align on key tender deliverables and timelines. Act as a central point of contact for all tender-related enquiries and ensure timely resolution of any issues that may arise. Excellence & Brand Alignment: Maintain a passion for delivering excellence in every submission, ensuring that each tender is crafted to meet the highest standards. Adapt submission styles to align with PMA's brand voice, maintaining consistency with our professional and innovative approach. Key Skills and Qualifications: Proficiency in Microsoft Word, including advanced formatting and editing skills. Experience with Adobe Acrobat for PDF creation and document management. Strong familiarity with Microsoft SharePoint, Excel, and Project for document and project management. Excellent reading skills and a keen eye for detail, capable of thoroughly reviewing complex tender documents and identifying key information. Proven ability to manage multiple projects simultaneously while meeting tight deadlines. Strong organisational skills with the ability to build and maintain a digital library of documents and templates. Effective communication and stakeholder management skills, with the ability to coordinate input from various sources and ensure timely delivery. A fast learner with the ability to adapt quickly to different industries and business areas, providing value across a range of tender opportunities. Desirable Attributes: Previous experience in Bid Coordination or similar role. Strong organisational skills and the ability to work well under pressure.
