About the role: The Executive Assistant provides high-level executive support to the Executive Director through strong organisational and workload management skills and an ability to confidently triage work as required. The Executive Assistant will also need to be familiar with departmental policies and procedures to ensure compliance with financial and human resource requirements. The Executive Assistant supports the executive through diary and email management, arranging meetings and other events, prepares correspondence and responds to enquiries from a range of stakeholders, being able to adjust writing style to suit the different audiences. The Executive Assistant demonstrates the utmost discretion when dealing with sensitive and confidential matters and also works to build a positive culture while demonstrating behaviours in line with the organisation's values. The postion will provide project management support to priority projects across the Reform Implementation Branch as required. This could include supporting the prepration of briefings and papers, and leading and coordinating stakeholder engagement activities. About you: A tertiary qualification in fields related to business management would be desirable. Knowledge and experience in DH administrative processes, procedures and systems. Able to think strategically and act with autonomy in decision making to support the group. They will be agile and responsive to changing demands and be able to proactively identify areas for improvement in the functioning of the Reform Implementation Branch and design and apply solutions to improve effectiveness and efficiency. Accountabilities: Provide a range of effective executive support functions, including accurately managing the Executive Director's calendar and providing quality support to committees, working groups and meetings. Effectively manage and develop office processes and infrastructure and maintain corporate information systems for records management, financial information, fleet management, client payments and ministerial correspondence. Arrange meetings and other events, including liaison with senior executives and government officials, coordinating papers, organising venues, agendas, taking minutes and follow-up actions and making travel and accommodation arrangements. Where responsible for overseeing, monitoring or delivering projects, ensure they are delivered in accordance with relevant legislation and government regulations and guidelines.
