To provide senior administrative support to the Chief Executive Officer, Executive Team, Board of Directors and Sub-Committees and manage the Lifebridge office environment.Key OutcomesCEO & Board AdministrationProvide administrative support to the CEO and executive team members including drafting correspondence, diary and calendar management, travel arrangements, liaising with stakeholders, coordinating meetings, preparation of meeting agendas, minute taking, distribution and follow up of actions.Provide administrative support to the Lifebridge Board and Board Committees in accordance with governance requirements and a strict timetable of activities. Tasks include preparation and distribution of meeting agendas, Board and committee papers, detailed minute taking, following up actions and Board resolutions, finalising board documentation and filing, developing and administering annual Board work calendars and work plans.Assist the Company Secretary in preparation of the Annual General Meeting and other secretarial duties as required.Coordination and organisation of Board related functions and events including preparation of presentation material.Office AdministrationManage and maintain the Lifebridge Sub-Contractor Database including onboarding, auditing of compliance related documentation, reporting and responding to customer feedback.Perform assigned tasks and projects to support the development and integrity of Lifebridge systems.Assist in the development and maintenance of the Lifebridge document management system.Design, edit, and format forms and templates.Ensure the effective operation of Lifebridge facilities including general maintenance, purchasing, archiving and maintenance of office equipment.Prepare and coordinate staff and customer functions and events including preparation of presentations and associated materials.Knowledge / SkillsTertiary qualifications in Business Administration or equivalent preferred.Demonstrated skills as a senior office administrator, including report collation and scheduling, and experience in providing support at the Board and senior executive levels.Advanced skills in Microsoft Office 365 – Teams, Word, Excel, PowerPoint, Adobe and Outlook.Exceptional organisational skills, including attention to detail, demonstrated initiative and the ability to manage multiple competing deadlines.Advanced communication skills, including research and report generation and the ability to establish professional relationships with key stakeholders.Demonstrated ability to maintain privacy and confidentiality.
