We are looking for a Contracts Administrator to work as part of our clients site based project delivery team reporting to the Project Support Services Lead. Purpose: Work closely with the clients Projects Team members to plan and implement best practice and endorsed Contracting and Procurement strategies to satisfy Project requirements, including building mutually beneficial key business partnerships with contractors/suppliers/engineering service providers. Role Accountabilities: Proactively contribute to Project Specific and Project Portfolio Contracting and Procurement Strategies – Plan, Execute and Maintain to ensure procurement packages are well defined and that the strategies align with business focus/priorities/needs. Ensure the Contractor carries out the Scope of Work and is compensated as specified in the contract; Ensure the Contractor is compensated as specified in the contract; Ensure the Contractor complies with all reporting requirements of the contract; Monitoring the overall progress of the contract identifying any adverse trends; Ensure the Contractor complies with all relevant Terms and Conditions of the contract; Ensure thorough records and files of all documents pertaining to the contract are maintained; Administer contract compliance, assess claims and Variations, identify and exercise de-risk strategies, participate in progress meetings, promote clear and regular communication and reporting, engagement in dispute resolution processes and commercial/contract close out. Maintain a clear and concise record of key commercial documents and contract administration communication for each project package. Ensuring, as appropriate and when required, the required Management of Change processes are followed and/or completed as per clients procedures as well as on-going compliance with Change Management procedure. General procurement and purchasing support to the Projects Team including vendor prequalification, setup/preparation of Purchase Requests, follow-up on PO’s, expediting and Terms and Conditions amendments. Implement and manage Procurement activities in the context of the Project Management System (PMS). Actively promote, advise, and ensure compliance; Maintain Conflicts of Interest records within the clients Standard. As a member of the team, act as Safety Ambassador integrating the Safety Transformation Plan into in the way projects are delivered at site and driving a culture of zero harm and Safe-Quality outcomes. Leading by example, promoting a culture of speaking up, holding each other and contractors’ to account, with ongoing focus on our Projects Safety Commitments. Qualifications/Experience: Degree qualified in Business or Law (desirable). Diploma in Contracts Administration. 3 - 7 years’ demonstrated broad Contract Administration experience; out to market engagement and contract administration (minor & major: Supply, Site Works & Engineering Services). 3 - 7 years’ demonstrated experience in a projects environment/capacity (Sustaining and/or Major Projects). 3 - 7 years’ demonstrated experience within Resources and/or Heavy Industry (desirable). Experience of working within the framework of a Project Management System (PMS). This role requires that candidates have working rights in Australia.
