The role works closely with the executive management team (EMT) and is key to ensuring effective communication and coordination of management effort across the business. It is expected that, as with all DYHS staff, this position adopts agile work practices, with a customer-centric and future-oriented focus on best practices and digital solutions and actively creates and maintains a healthy and safe workplace.Key ResponsibilitiesAct as the executive point of contact, liaise with stakeholders and action requests to coordinate communication, and proactively ensure responses and reporting requirements meet deadlines.Provide diary management to the Chief Executive Officer.Manage the CEO’s travel arrangements, including booking airfares, arranging accommodation and car hire, and accurately submitting travel-related documentation such as reimbursement and travel allowance and authorisation forms.Coordinate and oversee meetings and events on behalf of the CEO, ensuring the timely preparation of meeting papers, agendas, minutes and action items.Preparation of reports, briefing papers and other documents for external stakeholders.Distribution of reports and information to internal and external parties as appropriate.Maintain the CEO’s filing systems, both electronic and paper copy.Assist corporate areas in the establishment and maintenance of a document management system, as directed.Event coordination on behalf of the CEO.Manage procurement processes on behalf of the CEO, including sourcing quotations, purchase orders and invoice payments.Continually reflect on and review internal practices to ensure efficiency and relevance.Any other duties as directed by the CEO.Other responsibilitiesAct with discretion and maintain confidentiality concerning all Derbarl matters, correspondence and communication.Liaise with external government bodies, vendors, partners and contractors on behalf of the CEO.Participate as a valued team member promoting and contributing to a supportive team environment.Communicate effectively with all customers and patients using the appropriate channels, utilising appropriate formal and informal channels of communication.Participate in, contribute to and implement quality improvement and risk management in all aspects of service.Adhere to all applicable Derbarl policies and guidelines, take reasonable care of yourself and others.Promote a positive safety culture within your area by demonstrating a positive commitment to WHS.SELECTION CRITERIAEssentialRelevant qualifications in Business Administration and/or equivalent industry experience.Highly developed organisational skills with the ability to manage time, work output and priorities and handle tasks with competing priorities within tight timelines.Awareness of/sensitivity to Aboriginal culture and history, knowledge of current issues affecting Aboriginal people's lives, and a willingness to incorporate Aboriginal values into clinical practice.Demonstrated ability to deal with sensitive and confidential duties effectively.Demonstrated ability to work independently and in a team environment.An ability to develop effective working relationships.Experience in a similar role involving facilitating minutes and agendas and providing high-level support at an executive level.The ability to maintain strict confidentiality both internally and externally.Exceptional written and verbal communication skills.Ability to liaise effectively with senior executives, board members and key stakeholders.Demonstrated experience in report writing and document control.Advanced skills in Word, Outlook, Excel, PowerPoint and Canva (desirable).Ability to work outside of normal business hours from time to time.DesirableAboriginal and/or Torres Strait Islander.Appointment Pre-requisitesProvision of the minimum identity proofing requirements:Satisfactory National Police Clearance that is not older than six months.Successful Pre-Employment Health Assessment.Current WA “C” class driver's license.COVID-19 vaccination.How to Apply:Please apply through SEEK, applications must include:- Current Resume including current contact details; and- Cover letter addressing the selection criteria (2 pages maximum) outlining your suitability for the role.Derbarl Yerrigan Health Service Aboriginal Corporation is an equal opportunity institution, providing educational and employment opportunities without regard to race, colour, gender, age, or disability.
