Are you an accomplished Executive Assistant with extensive experience providing top-tier support at C suite level? An opportunity has arisen for a talented and experienced Executive Assistant to join our Bupa Health Services team.
Reporting to the Managing Director Health Services you will provide executive level support to create an efficient, organised working environment for the MD and wider Health Services Leadership Team, in a highly complex global business environment.
What will your day look like?
* Provide high-level professional personal assistance to the Managing Director, Health Services.
* Prepare and distribute agendas, minutes, reports, and other documents for meetings and events, ensuring accuracy and timeliness, including end-to-end logistics for regular Leadership Team meetings.
* Heavy calendar, email, and phone traffic management across multiple time zones. You will be the first point of contact for the Managing Director Health Services
* Manage the domestic and international travel arrangements, adhering to our travel policy and procedures, and ensuring full use of time when travelling.
* Develop and deliver key internal communications on behalf of the Managing Director Health Services.
* Organise and co-ordinate team activities, such as workshops, training, social events, and recognition programs.
* Nurture a dynamic and collaborative culture as we transform and grow the business.
* Hold regular meetings, annual offsite and engagement activities to ensure a cohesive EA team; engage with regularly, ensuring they are fully supported.
* Financial administration, ensuring all invoices and credit card expenditure is processed in an accurate and timely manner, and allocated to the correct account and cost centres.
* Mentor, support and develop the Personal Assistant community within Health Services.

We are seeking a seasoned professional with a strong blend of organisational skills, communication excellence, and problem-solving capabilities to join our team and provide critical support to our leadership.
In this role, you'll need impeccable organisational skills, enabling you to balance competing priorities while maintaining a proactive positive attitude. Your ability to meet tight deadlines in an orderly and composed manner will be essential, as will your experience in a complex organisational environment with diverse business portfolios. A strong focus on customer service and relationship building is key, as you will liaise with stakeholders at all levels, requiring confidence and a keen sense of interpersonal savvy.
Confidentiality is important in this position as you will be handling sensitive information with the highest level of integrity and discretion. Along with preparing meeting materials, including board papers, from raw data, you’ll also be expected to produce clear, detailed, and accurate written communications. A proactive, flexible approach, coupled with a positive and collaborative mindset, is essential as you manage shifting priorities in a fast-paced environment.
