The role is to be the glue of the crew and our projects. You support them to keep all the puzzle pieces moving through your fine style of administrative prowess. You take care of the details with vigilance, because the details make the design, and getting it right means greater ease for all. You're part of a team building unique, meaningful, architectural homes and spaces for great clients; it's all about Building Better. You're a ninja when it comes to prioritising, and you love powering through a (digital) task list and helping people deliver high quality projects and experiences. You love systems and processes, because they make you and us more efficient. You love architectural construction; the construction process and its administration make sense to you. About you You're involved in our building project work from start to finish. From taking initial calls, and setting up the project's administration files, to ordering the light fittings, and right through to being involved with the numbers and finances; you love it all. We're talking: Project set-up, Documentation coordination, Subcontractor and supplier liaison, Project budgets, Procurement (materials, fittings, fixtures, and everything under the sun which is specified and needed), Letting and tracking subcontracts, and purchase orders, Project accounts, administration, progress claims, and payments. You're familiar with communicating widely, know how to connect, and can tell a future match made in heaven from a time waster. You know how to prioritise, and maintain responsiveness and flexibility while getting your task list done. You rock a task list... And the daily task list is certainly demanding during the hours you're here in the office; the enduring results of the creations are meaningful, and for good humans. While the role itself has lots of challenge and variety, and is fast moving in nature, you're landing on solid ground. We've spent the first 15 years of the company building foundations that are solid. We started business during the GFC, and learnt about recessions, and we spent the early years turning our big business (infrastructure and commercial construction) experience and knowledge into small business smarts; suitably and cleverly scaled to capture the essence. We know the next stage of our growth will need greater strength in our administrative foundations, and we are looking for someone who can take our solid base, and refine it while they operate it. Your brain works well with numbers, either because you've honed that skill and really like it about yourself, or because it's simply a secret rockstar skill you have. You can write effective emails, and know when it's quicker or more important to pick up the phone. Along your journey, you learnt document control and filing systems, either because it was drilled into you as a kid (so you didn't lose your homework or assignments), or you've had to organise a LOT of tech documentation before, and you know the enduring value of a clean set of files. You enjoy the achievement of work, so you're looking for that in spades. You know your blind spots, and you're honest about them, so you don't crash into something unexpected or let one of your co-pilots crash. And after all the technical side of the gig, you love building… The process, the layers, the amazing ride of their lives the clients have to build a dream into reality. We're seeking a team player. You'll be an important member of the team, and know that everyone has their role in a team, and that's what gives it its strength. It's less of a 'peaks and troughs' kind of role, as you'll always be busy. You'll work across project work, documentation, or refining and building templates, processes, and systems for the next time you do something similar. You'll have noticed on our website, or on our Vimeo channel, we create high detail projects for our clients. High detail projects need people to deliver, and maintain quality on a deadline. While we wouldn't call it rocket science, there's a lot of moving parts on our projects, and we need you to keep across it, and ahead of the team as much as possible. This is a deeply satisfying role, if you love to get things done, and being part of a bigger picture of creating something. Opportunities to grow as the role does will be self-driven, and likely towards a General Manager or Project Manager role.
