About this role This role is perfect for someone with excellent bookkeeping skills, coupled with strong admin & organisational skills, looking to work mornings and/or flex their work around school hours or other commitments.Working ONLY Monday to Friday (no weekends or public holidays!) directly with the Owner, you'll be given a detailed and supportive handover to fully understand our financial processes and once you are up to speed, you'll be encouraged to take responsibility and work autonomously. Your Bookkeeping & finance responsibilities will include:Managing Accounts Payable - Using Xero, you'll be reconciling bank accounts, inputting & managing supplier invoices including credit notes and accurately entering bills for payment and preparing bulk payments via Xero and individual payments as required. You'll manage the relationships with our suppliers including negotiating terms and supplying all information to set up new supplier accounts. You'll also chase suppliers and manage logistics where deliveries haven't arrived on schedule. Managing Accounts Receivable - Invoicing customers, staff discountSupplier Price Checking - You'll support our RRP to always be up to date by double checking supplier pricing on their websites/platforms.Sales Reporting & Bank Reconciliations - Using Xero, you'll be entering daily sales reports from our point of sale system and performing daily reconciliations between bank accounts, xero and the point of sale system. Banking - You will do our physical banking of cash fortnightly and float/change management. Payroll - You'll hold end to end payroll responsibilities and use your solid knowledge of the Fair Work Act and relevant awards to make fortnightly payroll accurate and a completely smooth process. This includes setting up new staff into the system, reviewing timesheets, preparing fortnightly pays through Xero and preparing payments for approval.Staff Rostering - You'll prepare them monthly in advance using Deputy and liaise with staff for confirmation and react to any last minute changes.You'll also have lots of impact and responsibility in an administrative capacity including:Customer Enquiries & Admin - You'll check and respond to customer queries across email, telephone and social media. Don't worry you'll be fully trained in how to support them and what to say! Customer Database & Loyalty Programs, Monthly Prizes - You'll ensure our database is accurate and up to date and take charge of processing our customer loyalty program, entering & updating our points system and organising & planning our monthly prize draws.Organise & Develop Systems & Processes - we have a lot of existing processes which need to be documented, centralised and organised. You will develop and write the business' Standard Operating Procedures with the support of the team and maintain our SOP library. You'll also work through a project to identify where our gaps lie to ensure we are compliant and operating in the most efficient way possible.Tech & System Troubleshooter - Every now "tech happens" and we need someone cool under pressure to help coordinate troubleshooting the problem, which may be as simple as a faulty scanner or a bit more complicated like an EFTPOS machine not working.Website Admin - You'll update new products and pricing onto the website. We use Shopify and will happily train you as long as you've got a keen interest to learn technology and figure out how various apps integrate and connect behind the scenes. General Admin - including organising trades & maintenance that's required in the store, liaising with our landlord, ensuring we have all the things we need including stationery, packaging and consumables!Purchasing & Inventory Management - You'll support this critical role in our business by monitoring stock levels, re-ordering & working with suppliers in relation to deliveries and logistics to ensure we always have sufficient levels of the right stock on our shelvesAbout YOUWe're looking for someone who wants to join our fun, friendly team and wants to get involved, solve problems, hold responsibility and ultimately be PROACTIVE and HELPFUL.This is a very hands-on role and strong bookkeeping knowledge and experience is essential. You must know Xero, have excellent knowledge of GST and Payroll and have previous experience Microsoft Outlook and working with ECommerce.You'll have a strong aptitude for systems and tech and be confident to learn the website side. We'll provide you with the training you need to get up to speed on our website, our business and our products.
