You will be working closely with senior staff, managing day-to-day administrative tasks, coordinating events, and ensuring efficient office operations.Key ResponsibilitiesGeneral Administration: Event Planning: Assist with organising company events, including liaising with vendors, booking venues, coordinating travel, and managing attendee lists. Hotel Bookings: Manage hotel reservations for staff and visitors, ensuring that accommodation is arranged in a timely and efficient manner. Adhere Orders: Process and track orders for various office supplies and equipment, ensuring items are delivered as needed and on time. Memberships: Administer memberships for Accor and ATC, ensuring renewals and updates are processed on time and benefits are maximised. Rebates: Assist in tracking local and regional rebate programs, managing filing, accruals, and raising invoices as necessary. Leases: Support lease management, including tracking lease dates, liaising with landlords, and ensuring that lease terms are adhered to. Service Awards: Coordinate the tracking and distribution of employee service awards. SIM Cards: Manage SIM card distribution for staff, including keeping track of activations, usage, and ensuring proper documentation. Trainings: Coordinate training sessions for suppliers and staff, including scheduling, liaising with trainers, and managing attendance. Payables: Assist with processing payables, ensuring that invoices are filed correctly and payments are made in a timely manner. Electricity Management: Oversee electricity billing, liaise with utility providers on any issues, and assist with greenhouse gas reporting. Filebound Management: Manage and approve requests through the company’s file management system, ensuring proper documentation and workflow. Proforma Invoices: Raise and track proforma invoices for PC purchases, file them correctly, and follow up for timely payment. WHS (Workplace Health and Safety): Collate feedback on workplace safety, follow up on WHS-related issues, and ensure compliance with company policies. Supplier Correspondence: Assist with managing supplier communications, including promotional activities and training sessions. General Assistance and Office Maintenance: Provide general administrative support as needed, ensuring the office environment is well-maintained and functioning smoothly. Motor Vehicles: Registrations & CTP (Compulsory Third Party): Assist with managing motor vehicle registrations and CTP insurance renewals, ensuring timely processing. Fuel Cards (BP & Ampol): Administer the use of fuel cards for company vehicles, ensuring that records are accurate and up-to-date. Toll Tags: Oversee the management of toll tags, ensuring proper use, updating accounts, and resolving any issues. Penalty and Toll Notices: Monitor and manage toll notices and penalty fines, ensuring they are dealt with promptly and efficiently. Purchasing/Leasing: Assist with purchasing and leasing of company vehicles, ensuring that contracts and agreements are processed correctly. General Reminders: Provide reminders for important deadlines such as vehicle maintenance, insurance renewals, and other key tasks related to company vehicles. Skills and Qualifications: Excellent organisational and time-management skills. Strong attention to detail with the ability to manage multiple tasks simultaneously. Good written and verbal communication skills. Proactive approach to problem-solving and anticipating needs. Ability to work well under pressure and meet deadlines. Familiarity with Microsoft Office Suite (Excel, Word, PowerPoint). Previous administrative experience is desirable but not required.
