The role:
Our industry leading Real Estate practice group are looking for a detail-oriented and proactive Legal Assistant to join the Melbourne team on an initial 18-month contract working Monday to Friday, 9.00 am to 5.15 pm.
Joining two other Legal Assistants in the Real Estate team, you will play a pivotal role supporting a Partner and a team of lawyers. Your day will involve:
1. Delivering high quality, accurate work whilst managing deadlines, responding to changing and competing priorities.
2. Managing monthly billing processes including creation of pre-bills, editing, finalising and posting.
3. Managing Partners' internal and external appointments including diary management.
4. Organising national and international travel including organising visas where required.
5. Assisting the wider Real Estate team with any ad-hoc administrative tasks.
6. Liaising with clients and internal stakeholders by phone, email and in-person using a very professional and personable manner.
7. Managing PEXA administration tasks.
8. Administering trusts, ensuring compliance with relevant regulations and timely management of trust accounts.
Skills & experience:
You will be confident in decision making on behalf of senior stakeholders, have strong communication skills, and proven experience in assisting with large scale events.
To be successful in this role you will also have:
1. At least 18-months Legal Assistant experience.
2. Proven ability to uphold a high level of confidentiality.
3. Impeccable attention to detail.
4. Adaptability and think on your feet in a fast-paced environment with changing deadlines.
5. Tech savvy with a sound understanding of Microsoft Office Suite.
6. Previous experience in extensive calendar and inbox management.
7. Ability to anticipate Partner requirements to reduce administrative time.
8. Strong written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
