The Administrative Assistant Learning Support is a part-time position which plays a crucial role in providing administration and documentation support in collaborating and liaising with the Student Learning and Support team, teachers, students, and parents to create an inclusive environment that enhances learning support services, under the guidance of the Head of Student Learning and Support.

Detailed Job Description
The Administrative Assistant plays a critical role in supporting the Student Learning and Support team by working closely with the Head of Student Learning and Support to manage day-to-day operations and administrative tasks to ensure a smooth functioning of the Learning Support team.
The Administrative Assistant is required to:
* Read, understand, and adhere to all the College’s policies and procedures.
* Take proactive responsibility for safeguarding and promoting the welfare of students in the learning support team.
* Undertake training and professional development as required to keep up to date with current developments.
* Support staff in all aspects of the school’s processes and procedures as required.
* Be fully aware of and implement any emergency plans according to College Procedures (e.g. emergency closures, fire alarms etc.).
* Ensure that work is completed in a timely manner and according to agreed procedures.
Key Accountabilities
Christian Leadership:
Demonstrate a Christ-like example in the College ensuring that:
* All activities are undertaken with a strong Christian commitment and focus.
* Christian servant leadership is exercised with staff, students, parents, and the wider community.
* Perform day-to-day duties prayerfully and consistent with a Biblical lifestyle with the aim of bringing glory to God.
* Administrative Support in Learning Support Team.
* Work closely with the Head of Student Learning and Support to gain clarity in direction for supporting Learning Support on a day-to-day basis and assist in any other related work.
* Assist in ensuring that the individual programs (IPs) and other student support documentation are in place.
* Manage the department’s calendar, scheduling meetings, appointments, and support sessions.
* Prepare and distribute communications, including documents, related to Student Learning and Support, and reports; Including NCCD document preparation.
* Ensure that the student learning support is functioning smoothly at all times and be proactive in identifying any gaps or delays in the learning support services, to alert or discuss with the HSLS.
Record Management
* Maintain accurate and confidential student records, including progress reports, assessment results, and correspondence.
* Ensure all documentation complies with school policies and relevant legislation.
* Ensure the Individual Plans of students are submitted by the teachers on a consistent basis and progress is updated on a timely basis.
Communication and Liaison
* Act as a reliable point of contact for the department, addressing inquiries from staff, parents, and external agencies, under the guidance of the Head of Student Learning and Support.
* Facilitate effective communication between the Student Learning Support Department and other school departments.
* Manage and drive communications on events or important Learning Support activities with the Staff or students.
* Manage communication between the department and other external units, in discussion with the Head of Student Learning and Support.
Collaboration and Program Support
* Assist in organizing and coordinating support programs, workshops, and events for students with additional learning needs.
* Be hands on, in case of any other departmental support that is required and is in line with the Departmental expectations, as per Head of Student Learning and Support.
Administration and Resource Management
* Manage inventory of educational materials and resources, ensuring availability for support programs.
* Coordinate the procurement of supplies and equipment as needed.
Compliance and Professional Development
* Stay informed about school policies, procedures, and relevant legislation related to student support.
* Participate in professional development opportunities to enhance skills and knowledge pertinent to the role, as guided by the Head of Student Learning and Support.
Key Communications
Internal communications:
* Head of Student Learning and Support to receive guidance and direction of the overall Learning Support tasks and scope of work.
* Primary and Secondary School teachers to liaise with and provide assistance to, in the learning support space.
* Student Learning and Support team to collaborate and correspond on various learning support interventions.
External Communications
* Healthcare professionals
* Parents and families
* Educational resources providers
* NCCD regulators
Challenges
* Ensuring consistency of caring for students’ learning needs and closure of tasks as guided by the Head of Student Learning and Support.
* Ensuring that students’ learning experience is consistent by managing the administration side of it, across Primary and Secondary school.
* Ensuring that the school teachers are well-equipped with the required support and assistance while liaising with them.
Knowledge, Skills and Experience
* It is an inherent requirement of the role that the incumbent have a personal relationship with Jesus Christ, actively attend their local Church, and willingly support the vision and practice of the College as stated in:

* Have relevant qualifications and/or experience in-
Education: Certificate IV in Business Administration or related field preferred.
Experience: Previous experience in an administrative role within an educational setting is advantageous.
* Demonstrated experience in the following competencies:
1. Organizational & Administrative Skills – Efficiently manage calendars, meetings, and support sessions while maintaining smooth Learning Support operations.
2. Record Management & Confidentiality – Maintain accurate student records, ensuring compliance with school policies and legislation.

Selection Criteria
