We are seeking an experienced and proactive Executive Assistant to provide high-level administrative and executive support to the Chief Executive Officer (CEO).
Working under very limited direction, you will undertake work that is complex and sensitive in nature.
The position actively contributes to the overall efficiencies of the CEO's Office, working to deliver on priorities of the Reef Authority, coordinating the day-to-day timeframes required of the CEO, including diary management, email monitoring and reply, all CEO travel requirements, and internal and external stakeholder queries.
Key ResponsibilitiesProvide high-level executive support to the CEO including but not limited to email coordination and management; organisation of diary/appointments; arrange and prepare for meetings, events or functions including booking of and coordination of associated travel, whilst maintaining workflow systems to ensure delivery of tasks and deadlines.Manage the day-to-day operational office and administrative activities associated with the CEO's portfolio and movements including providing high level effective communication and liaison with internal and external stakeholders.Coordinate briefings and correspondence for the CEO.Prepare/draft correspondence and other documents as required, including quality control of incoming and outgoing correspondence and undertaking meeting coordination activities and documentation relating to the CEO's requirements.Be the conduit between the Board, Chairman, Minister's Office, Department representatives and other APS agencies on matters as required.About YouYou are extremely organised in a complex, fast-paced, high-pressure environment and are successful at balancing competing priorities.You can work with limited direction, applying judgement, logic and discretion appropriately.You can quickly grasp complex issues impacting the Reef and bring an understanding of broader issues relevant to the operating environment.You have a strong sense of duty and loyalty and are discrete with a friendly disposition.You can communicate with influence, including listening actively and clearly articulating your message in writing and verbally, as well as successfully maintaining relationships with internal staff and external clients.You can produce high quality responses quickly, succinctly, and for a range of audiences.You can collaborate across teams and sections to build consensus amongst stakeholders, working with staff at all levels.You have excellent coordination skills, with a strong attention to detail and flexibility where required.You will act with integrity, use sound judgment, and act professionally.About the Great Barrier Reef Marine Park Authority:We are dedicated to the long-term protection, ecologically sustainable use, and enjoyment of the Great Barrier Reef.
