Job Title Facility Coordinator Job Description Summary The Facilities Coordinator is responsible for controlling the reactive and preventative maintenance program to ensure the site operates within the Client's and Company's requirements and guidelines in a safe and timely manner.Job Responsibilities: Provide excellent customer service to site-based clientele and other client stakeholders.Implement and follow all rules and guidelines required within this highly controlled environment.Inbox management receiving all reactive work orders when required.Coordinate and schedule reactive works onsite including obtaining quotes and managing services for external reactive contractors.Conduct regular contractor spot checks and accept SWMS.Coordinate onsite internal trades staff and contractors on site and external vendors.Ensure timely completion of all maintenance tasks within KPI.Manage permits, entry permissions, and contractor service records.Participate in incident investigations, audits, and risk assessments.Assist in inspections and OH&S tasks to support a safe working environment.Assist in completion of Change of Direction orders for asset management purposes.Provide on call support afterhours and weekends once every 3-4 weeks.Cross skilling other Facility Coordinator roles for backfilling purposes and coverage.Other tasks related to the management of the site. Personal Characteristics: We are looking for a quality-oriented individual with a high level of attention to detail and accuracy.Strong communication and interpersonal skills are essential, along with demonstrated analytical and problem-solving abilities.The ability to seek assistance when needed and address complex problems in a dynamic work environment is crucial.Experience: A minimum of 2-3 years relevant experience in an administrative role with a heavy focus on customer service.Commercial or industrial real estate with facility management experience highly regarded.Valid Victorian Driver's License required as well as your own transport to site.
