OUR PURPOSE
Our core objective is to advance education for students by providing support and complementary activities to those undertaken by JCU. This is achieved through delivering a range of non-academic support and services to students, the JCU community, and the broader local community.
ABOUT THE ROLE
This role provides operational leadership and managerial support across the commercial and business operations to support the effective running of Students Plus Pty Ltd. With the assistance of a small team and outsourced specialist assistance when needed, the role is hands-on in all aspects of operations management, including finance, billing and payroll, human resources, recruitment, facility management, stock management, work health and safety and marketing.
KEY TASKS AND RESPONSIBILITIES
Financial and Administration Management
Collaborate with the SPPL Board of Directors and JCU leadership to execute business strategies and plans aimed at achieving strategic goals.
Conduct or oversee regular financial, operational, and statutory reporting required by the Board, JCU, and other authorities.
Supervise and manage all facets of finance, including Accounts Payable, Accounts Receivable, Payroll, asset management and BAS returns.
Oversee and ensure compliance with the SPPL and JCUSA service level agreement.
Develop and maintain a comprehensive budget and perform periodic budget analyses within specified timeframes and deadlines.
Acquit and monitor the use of SSAF attributable funds in compliance with relevant legislation.
Ensure the efficient management and allocation of Student Plus Pty Ltd facilities, equipment, and resources.
Attend and coordinate management and board meetings, including overseeing the distribution of agendas, minutes, or notes.
Support SPPL in the implementation, maintenance, and upgrades of financial, administrative, human resources, asset management, and other necessary systems.
Implement and sustain a records management system, ensuring the legislated filing and archiving of all records, such as HR, financial, and WHS documents.
People and Culture Management
Lead the creation of a high performing team culture through the effective management, execution and oversight of Human Resources systems, policies and processes.
Oversee the recruitment activities for Students Plus Pty Ltd ensuring these meet employment legislation and Policy requirements.
Conduct scheduled and/or periodic reviews, surveys and data analysis to drive continuous improvement initiatives and ensure continuing development, coaching and mentoring of staff.
Oversee the coordination and delivery of the annual Performance Planning & Review Program for Students Plus Pty Ltd.
Oversee the functions of Human Resources and Work Health & Safety, including all existing and emerging duties and responsibilities.
Manage Student Plus Pty Ltd HR and WHS induction and training programs and ensure compliance to these is maintained.
Oversee the integrity and correct use of Riskware and oversee and/or carry out reviews, investigations, and corrective actions for work related incidents.
Oversee Student Plus Pty Ltd WHS function, including workplace injury and rehabilitation, development and maintenance of relevant documentation and facilitation of wellness initiatives and programs to address emerging workplace issues.
Support change initiatives introduced at Students Plus Pty Ltd, to ensure these are communicated and explained, and any necessary consultation takes place with the teams.
Marketing and Branding
In conjunction with the Board, assess and identify new opportunities for growth in current and prospective markets and support business actions.
Participate in the design and implementation of student events to promote SSAF funded services and student and community engagement through effective marketing across different advertising mediums and adequate sponsorship.
Take a lead role in establishing and maintaining relationships and being involved in coordinating and attending community engagement.
Regular community events are planned, scheduled, and organised within the community or to target groups.
Foster relationships with professional bodies, industry partners, community and other stakeholders such as residential colleges and other universities.
Oversee the management and maintenance of the Student Plus Pty Ltd website and social media platforms.
Monitor competitor activity, including pricing, promotions, salaries, and marketing strategies.
Supporting council to engage with the community in a meaningful and efficient manner with their community engagement initiatives and community planning projects.
Foster good relations with relevant Student Plus Pty Ltd stakeholders and inclusion in key events.
Oversee the creation of a corporate style guide to ensure consistency in brand.
Sport and Recreation
Oversee the development, operation and strategic direction of JCUSA Sport and Recreation program.
Oversee the sporting and recreational facilities including the JCUSA Fitness Centre in Townsville and JCU Fit 101 in Cairns, and services for students and the JCU community.
Grant and Sponsorship Funding
Inform the SSPL Board about external funding opportunities and manage the application process for grants if approved by the Board.
Formulate, execute, and assess a comprehensive grant and sponsorship strategy that aligns with SPPLs long-term and short-term goals, aiming to maximise grant revenue.
Collaborate with staff to coordinate, oversee, and craft applications for external funding.
Foster stronger relationships with various government departments relevant to funding opportunities.
Prepare reports for SPPL Board, and funding bodies on grant programs, including maintaining a grant register.
Maintain systems and procedures to ensure proper administration of successful grant projects, including reporting and financial acquittal processes.
Continuously update knowledge of key community issues to inform the grant strategy and bolster community capacity in seeking grants.
QUALIFICATIONS
Tertiary qualifications in Business Management, Commerce or Accounting and extensive experience and management and/or specialist expertise; or an equivalent level of knowledge gained through any other combination of education, training and/or experience.
OTHER REQUIREMENTS
Travel between campuses may be required from time to time.
Engage in operational tasks beyond regular working hours when needed.
SELECTION CRITERIA
Demonstrated people leadership skills with the ability to successfully supervise a team to deliver outcomes and build a positive workplace culture.
Strong skills in financial management, including budgets, financial reporting and payroll, along with proficiency with MYOB and/or Xero and experience in strengthening company finances.
Significant organisational, problem solving and administration skills, with the ability to prioritise and meet competing deadlines, and an established record of exercising judgement and initiative under broad supervision.
Demonstrated high-level verbal, written and interpersonal communication skills with proven ability to maintain highly effective working relationships.
Demonstrated knowledge and understanding of Human Resources practices, along with Workplace Health and Safety principles and regulations and the ability to interpret legislation and regulations.
Proven computer literacy and proficiency in the use of the Microsoft Office suite or equivalent; financial and information management systems; and electronic communication tools.
Experience in managing grant funding applications and acquittals, as well as securing fundraising and sponsorship opportunities.
