The Role: Conduct regular property inspections, meeting with tenants and owners, and preparing inspection reports as necessary. Manage the day-to-day operations of the property portfolio, ensuring smooth communication with tenants and landlords regarding all aspects of property management. Oversee rent reviews, lease renewals, and options, ensuring compliance with agreed terms. Prepare and distribute tenant invoices monthly, ensuring all charges are accurate, and process any sundry charges as required. Monitor arrears and provide regular reports to property owners on outstanding payments. Remit rental funds and prepare detailed monthly reports for property owners. Handle lease administration, ensuring all lease terms, amendments, and updates are accurately reflected in the Tenancy Schedule. Prepare and manage Annual Outgoings Budgets for tenants and Income and Expenditure Budgets for owners, monitoring progress throughout the year. Coordinate the annual variable outgoings audit and ensure compliance with financial reporting standards. Lead the submission process for potential new managements, including client meetings and presentations. Provide guidance on legal matters, liaising with legal professionals to manage processes such as new leases, lease registrations, liquidations, debt collection, and lease cancellations. Oversee facility management, ensuring all aspects of property maintenance are effectively managed and maintained. Ensure full compliance with Occupational Health and Safety requirements, implementing programs and generating reports as needed. Maintain accurate and up-to-date tenant files, ensuring all documentation is properly stored and easily accessible. Skills and experience: Hold a current WA Property Management License, ensuring compliance with industry standards and regulations. At least five (5) years of experience in commercial property management, demonstrating expertise in the field. Proven success in leading, mentoring, and training a property management team, fostering a positive and productive work environment. Ability to work effectively within a small agency, taking full responsibility for the entire property management function. Strong background in overseeing and managing Trust accounting functions with accuracy and integrity. Familiarity with Cirrus8 or similar property management software is highly desirable.
