The new trains will improve safety, amenities, accessibility, and reliability for customers who travel from Sydney to many regional centres in NSW, as well as Canberra, Melbourne and Brisbane. As part of the Regional Rail Project, UGL will perform all asset management and maintenance activities for the new regional rail fleet of 117 rail cars, training simulators and the maintenance facility in Dubbo for at least 15 years.About Your Role:We are seeking an energetic and committed Site Administrator to join our high performing team, located at our Mindyarra Maintenance Facility in Dubbo. Reporting to the Contract Delivery Manager, you will provide administrative support to the operations team involved in the Regional Rail Project (RR). This position is critical in ensuring the smooth functioning and efficiency of administrative tasks related to the project, which aims to replace the ageing regional rail fleet to improve overall service quality.Key Responsibilities:Administrative Support: Assist the operations team with various administrative tasks, such as documentation, scheduling, and communication.Payroll: Process payroll for the project.Purchasing: Lead raising Purchase Orders and subsequent administration of payments and processing for the Regional Rail project.Record Keeping: Maintain accurate records of project-related documentation, including schedules, contracts, and reports.Coordination: Act as a liaison between different departments and external stakeholders to facilitate effective communication.Compliance: Ensure all administrative activities comply with company policies and project-specific regulations.Documentation: Prepare reports, meeting minutes, and other documentation as required by the operations team.Logistics: Assist with logistics management, including coordinating meetings, site visits, and travel arrangements for the team.Facilities Management: Support the management and upkeep of the project's on-site facilities.About You:Organisational Skills: Exceptional organisational skills to manage multiple administrative tasks efficiently.Communication: Strong written and verbal communication skills to interact effectively with team members and stakeholders.Detail-Oriented: High attention to detail to ensure accuracy in documentation and record-keeping.Problem Solving: Ability to proactively identify and resolve administrative issues.Technical Proficiency: Familiarity with office software (e.g., MS Office Suite), SAP or similar systems and project management tools.Experience: Prior experience in a similar administrative role within a large-scale project or the transport sector is preferred.Community Impact: Make a significant contribution to the community by ensuring the smooth operation of a project that will enhance regional connectivity and economic growth.Work-life Balance: At UGL, we understand the importance of maintaining a balance between professional and personal life.
