A day in the life of the Executive Officer A typical day may begin with ensuring our executives are set up for their day and scheduling meetings. Throughout the morning, you might manage the Secretariat function of IPAA National, arranging council meetings and papers, and in the afternoon, you'll work on various administrative tasks to support the CEO, Deputy CEO and Head of Operations.
No two days will be quite the same, though, and sometimes you may find yourself stepping in to help a teammate during one of our events or programs. Key Responsibilities We are seeking a highly organised and proactive Executive Officer to manage the secretariat function of IPAA National, provide comprehensive support to our executive team, and assist with the governance of IPAA ACT. This role requires a detail-oriented individual with exceptional communication, administrative and organising skills.
Executive Support Provide executive-level administrative support to senior executives, including managing calendars, scheduling meetings, inbox management and organising travel arrangements Prepare and edit correspondence, reports, presentations, and other documents as needed Act as the primary point of contact between executives and internal/external stakeholders Handle confidential information with discretion and professionalism Secretariat IPAA National Coordinating corporate and governance activities and meetings for the National IPAA network Preparing and distributing meeting papers including agendas and reports Coordinating project work including managing external resources Budget management and reporting Liaise with key stakeholders in the IPAA National network including the President, Treasurer, Secretary and Executive Director, as well as council and other jurisdictions' senior management Governance support IPAA ACT Assisting with drafting, preparing, and coordinating meeting papers and minutes, as well as corporate reporting Maintain and update board records, ensuring compliance with legal and regulatory requirements Facilitate effective communication between board members and executives, addressing any inquiries or requests Skills and Experience Experience working in a busy and dynamic environment and effectively contributing to a positive and supportive team culture Proven experience in general administration, executive support and secretariat duties Strong organisational and time management skills, with the ability to prioritise tasks effectively Demonstrated critical thinking and problem-solving skills Excellent written and verbal communication skills Proficiency in Microsoft Office Suite and other relevant software applications Ability to work independently and collaboratively in a fast-paced environment Genuine interest in the public sector Ability to professionally represent IPAA with members, clients, partners, and stakeholders NFP and public sector experience and IT knowledge and experience using management software will be highly regarded Personal Attributes Collaborative, flexible and supportive of team members and good team culture Highly organised High level of professionalism, integrity and discretion Attention to detail and accuracy Strong problem-solving and decision-making abilities Adaptability and flexibility to handle changing priorities Excellent interpersonal skills and a positive attitude Current National Criminal Record check or the ability to obtain one How to apply If you're interested, please submit the following:
