Job Description Your New Role The primary objective of this role is to assist the Development Director, Senior Development Managers and Development Manager through the planning, design, documentation and construction phases of a residential masterplanned community. Please note, this is a 2-year FTC. Core Accountabilities Support the team in the preparation of project financial reports, budgets and costings. Monitor and process all project related invoices to ensure effective implementation of stages of the project against set budgets and performance targets. Assist, update and monitor project expenditure. Undertake various project tasks to support the team. Prepare written correspondence to stakeholders and consultants as delegated. Assist with the engagement of contractors and manage the delivery of minor works within appropriate time, cost and quality measures. Prepare written correspondence to customers and consultants as delegated. Prepare and administer Request for Expression of Interest (REOI), Request for Expression Proposal (RFP) and Request for Tender (RFT). Coordinate and participate in project meetings, prepare meeting agendas and take minutes. Assist with the preparation, formatting and production of internal and outgoing correspondence, Board Papers, Monthly Project Reports, memos and other forms of regular information distribution. As required co-ordinate the escalation of documents for signing. Support the implementation of marketing and sales strategies, incentives, advertising campaigns and estate promotions. Support the implementation of sustainability charter initiatives in relation to urban design, environment, community wellbeing and affordability. Prepare and issue agendas and record and distribute minutes for weekly project meetings, Steering Group meetings and Stakeholder forums/workshops. Assist with follow up actions that arise from meetings as required, and update project log. Undertake correct and timely filing for all document management. Develop and maintain a good working knowledge of Development Victoria’s electronic systems, office procedures and guidelines for accurate and timely processing As necessary, develop existing or assist to formulate new project filing systems (both electronic and hard copy) for efficient utilisation. Assist in the formulation of procedures and template documents related to the ongoing tasks and activities of the team. Liaise with external consultants on a regular basis to obtain progress reports, as directed. Deliver customer service in a friendly, approachable and open manner. Respond to customer enquiries promptly and professionally, relaying accurate information to the appropriate people. Keep stakeholders up to date with issues and developments as directed About You Desired Skills and ExperienceWe are seeking a confident, big-picture thinker who is commercially savvy and possesses strong stakeholder management skills. The ideal candidate will be flexible, adaptable, and self-driven, with the ability to build relationships, show initiative, and maintain resilience in a complex environment. Education Bachelor degree in a property development, construction, civil engineering, or project management discipline. Experience Previous experience working in a corporate organisation, ideally property-related Intermediate use of Microsoft Word, Excel, PowerPoint, Outlook and adobe pro or PDF based programs. Experience with electronic filing systems and / or financial software ideal, but not essential Prior experience in the delivery of high quality customer service. Experience working in an environment requiring liaison with, and coordination of, multiple stakeholders. Some exposure to the preparation and analysis of financial feasibility studies, budgeting and cost monitoring.
