Job Summary
:
The Area Admin Assistant role will provide general administrative support to an area. You will meet regularly with managers to be informed of key issues and to coordinate the workload.
This is a FIFO role working 3:1 roster based in Karratha, WA.
Major Responsibilities:
1. Provide general administrative support to area.
2. Meet regularly with manager(s) to be informed of key issues and coordinate workload.
3. Coordinate travel arrangements (domestic and international) and prepare detailed itineraries as needed. Assist team members with expense reports through Concur.
4. Independently schedule and reschedule appointments based on manager’s commitments and priorities providing adequate detail to individual items.
5. Organize office for meetings, training, or employee events.
6. Create and organize presentations or materials needed for meetings.
7. Coordinate special activities and programs with manager’s input and approval.
8. Other responsibilities as designated.
Education and Experience Requirements:
9. Requires a minimum of 4-6 years of related experience .
Required Knowledge, Skills and Abilities:
10. Intermediate to advanced skills in Microsoft Office Suites.
11. Working knowledge of Concur.
12. Working knowledge of Aconex or electronic document management systems.
13. Excellent oral and written communication skills.
14. Strong organizational skills; detail oriented.
15. Experience interfacing with executive management and customers.
16. Able to handle highly confidential information.
17. Must be able to work independently.
Additional Information:
This position has responsibilities that include exposure to changing environmental, construction, and operational conditions, which may include: extensive walking in and around an active construction and/or operations site, climbing ladders, working at heights from work platforms including scaffolding, and mobile elevating work platforms (MEWPs), use of personal fall arrest equipment, walking and working on uneven surfaces, working in constricted and/or confined spaces, variable work shifts (e.g., day, night, weekends, 1st, 2nd, 3rd shift, etc.), and work in inclement weather. Some lifting may be required. Candidate must be able to use standard issued Personal Protection Equipment (PPE) required for each assigned task (i.e. respirator, harness, life vest, hearing protection, etc.).
The Pluto Train 2 Project is a Major Hazard Facility meaning this is a non-smoking site and no tobacco products – i.e. cigarettes, vapes, lighters, tobacco - are permitted to be brought to the site.
This position is available to both local and non-local personnel. For non-locals (FIFO/DIDO), the working roster is 3/1.
