This role plays a pivotal role in supporting Urbis' practice management system, BST, and help foster continuous improvement within the team. In addition, the Team Administrator or Senior Team Administrator offers guidance to fellow team members, sharing ideas and identifying opportunities to enhance the team's overall performance.You will:Providing administrative support, including invoicing, project scheduling, report formatting, and assisting with presentationsOffering technical support for Microsoft Office, Urbis' Practice Management System (BST), and expense management systemsManaging project invoicing, expense reports, billing, and coordinating the filing systemOverseeing continuous improvement of administrative processes and systemsSupporting workplace health and safety initiatives and promoting complianceManaging emails, calendars, meeting and travel arrangements, and acting as a point of contact for staff and clientsCoordinating team meetings, and preparing documents such as tenders and reportsAbout You:Previous experience in a similar role that supports multiple people (experience in a professional services firm is advantageous)Experience in project coordination and invoicing is crucial to this role.Intermediate to advanced level of experience using Microsoft products (Outlook, Word, Excel, PowerPoint and Teams)Demonstrates expert time management skills, ability to consistently manage competing tasks, timeframes and priorities autonomously and efficiently;Demonstrates advanced technical understanding and application of relevant software including Microsoft Office suite and company practice management system;You have previous experience working with Project/Business Management Systems, including invoicing.As a clear, concise, and confident communicator, you excel in managing expectations and priorities.Completion of a secretarial studies/business administration course or equivalent would be ideal, but not mandatory.Why Urbis?Urbis is committed to fostering a work environment that is inclusive, supports flexibility, and welcomes diversity.
