Reporting to the Branch System Support Coordinator, the Receptionist/Administrator is responsible for answering all incoming calls, managing incoming and outgoing mail, attending to all internal and external customers and general secretarial and clerical duties.Key ResponsibilitiesAnswer incoming calls in a timely manner and direct to the appropriate department/person.Welcome all visitors to Reception, assist them with signing in and induction and advising the appropriate staff member of their arrival.
Maintain online inductions/site.Direct all deliveries as required.Receive daily mail and distribute accordingly.
Bank cheques when necessary.Processing of SAP Purchase Requisitions and subcontract purchase orders.GR purchase orders.Reconcile branch cash.Assist with setting up new vendors.Book staff travel when required.Updating EQP care system daily/weekly with servicing details.Ordering of employee PPE, uniforms, first aid supplies, office supplies, monthly catering and merchandise as directed.Replenish the service kitchens with consumables.Maintain Branch Registers for PPE/Uniforms, HSE, Licences, Komserv, SharePoint & Emergency Contacts.Assist with site maintenance repairs and services when required.Book training for staff when required.Replenish the commonly used forms and posters in the branch.Complete service invoicing only when required.Maintain & close contract maintenance, first services and KOMP cases in Dynamics & R&M care when required.Assist with branch warranty jobs when required.Obtain and update certificate of currency documents when required.Carry out general clerical and Adhoc duties to various departments as required.Komatsu Benefits:Families Policy: 16 weeks of paid primary carer parental leave, 4 weeks of secondary carer leave, plus many more family friendly benefits.Financial: Company funded Income Protection Insurance.Career: Recognition, awards, flexibility, further education studies and internal career development.Health: Corporate discount with Bupa, Total Wellbeing Solution with Telus Health.Travel: Discounts with Avis, Qantas, Crown, IHG and travel agents.Yearly Bonus: Potential to receive a yearly bonus.Referral Program: $3000 referral payment for referring a successful new employee to Komatsu.What we are looking for:Had previous experience in a similar position.Strong Customer Service.Organisational and multi-tasking skills.Immediate computer skills in Office Word, Excel, Power Point, Outlook & Internet, SAP.Experience on busy switchboard, Agent Desk Top phone system experience highly regarded.Pride and presentation in oneself and their work.Be Team Orientated.Excellent interpersonal skills.Professional, friendly manner and professional presentation.Strong written and verbal communication skills including a great telephone manner.QualificationsHolds a current driver's license.Ready to get started?
