We are currently seeking an experienced administration officer to join the team in the role of Executive Assistant in the Office of the Executive Director External Relations and Research. The Executive Assistant will report to the Executive Director, Office of the Executive Director, External Relations and Research, Policy, Performance, International and Intergovernmental Division. The methods of assessing suitability in the recruitment process may vary, including making reasonable adjustments to support applicants at all stages of the process and employee lifecycle.Your RoleAs The Executive Assistant, You Will:Provide confidential executive support and manage day-to-day operations of the Office of the Executive Director, and administer the flow of internal and outgoing correspondence for the business unit.Provide confidential project support including research and coordinating briefing papers, preparing presentations and creating professional templates.Arrange appointments and meetings for the Executive Director, and organise events and forums, and book venues, travel arrangements and accommodation for the work unit.Provide support at meetings by preparing documentation, minute taking and follow up actions.Undertake purchasing processes ensuring alignment to financial management principles and procurement guidelines.Maintain effective and efficient liaison between the work unit, senior officers of the department and other government representatives and external stakeholders on matters relating to the Division.Develop, implement and review executive support systems and procedures ensuring that they operate in accordance with requirements and encourage an exemplary environment in which high quality services are delivered through continuous improvements in administrative systems, processes and leading by example.
