We're looking for a passionate Wholesale Coordinator who will be responsible for supporting the wholesale department in account management, administration and operations ensuring the overall success of the team's sales targets.
Duties & Responsibilities: Support the Wholesale Sales Manager to facilitate 4 seasonal RTW collection showings, along with specialty showings as relevant.
Directly responsible for managing sales and sales appointments of agreed accounts/territory.Manage all product uploads to sales software ahead of seasonal sales openings, or new sales opportunities being presented.Liaise with other departments to ensure all required information is provided as per the company timeline.Manage new account setup in AP21 for the sales team ensuring new retailer details are transferred to JOOR, and new customer forms are passed to the accounts team.With support from the Wholesale Sales Manager, oversee all wholesale administration for finalising seasonal indent, and in-season sales, including transferring of data and reconciliation before production handover.Manage samples for the department, including organising and sending samples to stockists, ensuring they are returned on time and in good condition and once sales team no longer require samples, hand them over to the marketing department.Responsible for ensuring the department's designated sample area is kept tidy and organised.Ensure all International Supplier manuals, any special ticketing/packing requirements are provided to production and distribution and follow through with regular checkpoints to ensure seamless delivery process.Review and respond to all EDIs received, ensuring these are correct before approval, and we receive these in time for each delivery.Prepare monthly launch plans, consult with relevant departments to ensure the timeline works for them and distribute them to the wider team.Troubleshoot any importing challenges with international retailers.Responsible for running the Weekly Order Tracker meeting.Work with the accounts team every week to ensure AR is kept up to date, and all retailers have clear communication in terms of their account status.
Support with payment plan, order cancellation, or account hold communication in line with this to ensure all orders are dispatched within their designated delivery month.Liaise with Production and Dispatch to ensure timely and accurate deliveries of stock for all key majors and mini-majors while assisting retailers with any delivery queries.Prepare and send monthly imagery to major stockists, including updating David Jones PIM system.Handle any RA requests from stockists, including flagging any issues with QC/internal SJ team if needed.Review all inbound product schedules to ensure these align with collaborative launch dates and majors delivery windows.Liaise with all key accounts on logistics challenges, inclusive of delayed product, delivery window updates, & short shipments.Run weekly invoiced and open sales reports and send this through to the wider team.Create the Order Tracker report weekly.Prepare monthly returns report on all wholesale returns to present at the monthly returns meeting.Reconcile monthly GL and update tracking sheet, re-forecast rest of the financial year prior to monthly finance meeting.Proactively look for system and process improvement opportunities.Assist with nurturing boutique relationships daily and deliver excellent customer service to all accounts with timely follow-through on all enquiries including stock requests, returns and exchanges.Prepare and distribute monthly collection launch collateral to all accounts, inclusive of personalised majors EDM's.To be successful you will need: Must have a keen interest in sales and business aspects of fashion.Strong analytical and numeracy skills essential.High attention to detail.Proficient in Excel.Experienced using ERP systems such as Apparel 21 or equivalent.Extremely well organised with excellent time management and admin skills.Ability to work within a team, multi-task and adhere to tight deadlines.Why work with us … Generous staff discounts & clothing allowance.Summer Fridays.A friendly, collaborative, and supportive working environment.Focus on responsible business practices & sustainability.Easy to access office in Rosebery, close to public transport.Employee Referral Program.Seniority levelNot Applicable
