The Office Coordinator plays an important role in maintaining the day-to-day operations of the respective offices. As the first point of contact, they are responsible for providing a welcoming and professional experience for all employees and guests. They are responsible for assisting with room bookings, general office equipment, supplies, maintenance, and cleanliness of office spaces.
What we are looking for:
* Oversee the office environment, including building access and office communications
* Coordinate office operations including reception, stationery, mail, couriers, and other administrative procedures
* Schedule room bookings as required
* Welcome clients, visitors, and internal employees
* Monitor office expenditures within allocated budget and oversee office maintenance including electrical test and tag
* Maintain office equipment and inventory including kitchen and bathroom supplies
* Support events, meeting, and conferencing needs
* Onboarding new starters with IT including assigning equipment and seating arrangements
* Process improvement initiatives
* Ad hoc administrative support
* Work with management team to ensure safety and wellbeing on site
* Complete administration tasks on time
* Manage clients, suppliers, and support employees in a professional manner at all times
* Ensure the office is functional and presentable at all times
Who you are:
* Relevant qualifications such as Cert IV Business, or equivalent industry experience
* Minimum 3 years experience in a similar office environment
* Strong organisational and time management skills
* Excellent verbal and written communication abilities
* Proficiency with MS Word and MS Excel
* Strong sense of discretion and professionalism
* Proficiency in English and Vietnamese language skills.
