This is a true Executive Assistant position, supporting a CEO who requires a smart, proactive, and savvy individual with excellent business acumen. You’ll need the ability to excel in a multi-faceted role where no two days are ever the same. From high-end events and board papers to assisting with private matters and stakeholder engagement – this is just the beginning. We are looking for someone who will act as a true ‘positivity ambassador’ for the CEO.
This dynamic role blends a variety of tasks to support the day-to-day operations of the business. You will need to have a strong yet approachable personality, be able to prioritise the needs of the business, and effectively multitask while meeting deadlines.
Key Responsibilities :
o Provide first point of contact, executive administrative, and project support to the CEO.
o Conserve the CEO’s time by managing incoming communications, coordinating meetings and events, and keeping them informed of priorities, changes, and conflicts.
o Manage email communication, calendar, meetings, and appointments in a timely and efficient manner.
o Oversee the CEO’s expenses and assist other executives with their expenses as required.
o Assist the Executive Team in managing output, workflow, operating rhythms, and deadlines by staying aligned with strategic imperatives and priorities.
o Contribute to the growth of the organisation by being a key team member and maintaining professional and friendly engagement with stakeholders across the business.
o Evaluate best practices and processes to identify opportunities for improvements in areas such as workflow, reporting procedures, and expenditures within the CEO’s scope of operations.
o File and retrieve corporate documents, records, and reports.
o Perform ad hoc tasks and other duties as required, based on your qualifications and training.
o Act as the point of contact for board members, arranging catering, coordinating technology, etc.
o Organise and manage domestic and international travel itineraries for the CEO and other executives.
Ideal Candidate Profile :
o Experience supporting at C-suite level within an ASX-listed company.
o Experience supporting at C-Suite level within the Energy / Renewables industry.
o Experience handling high levels of confidentiality.
o Excellent verbal and written communication, organisational, and problem-solving skills.
o A meticulous, detail-oriented, and proactive approach to tasks.
o Strong initiative in planning meetings and coordinating calendar events.
o Accurate typing with a keen eye for detail.
o Ability to work autonomously, manage conflicting priorities, and meet deadlines.
o Advanced proficiency with Microsoft Office Suite.
