Queanbeyan, Southern Highlands & Tablelands NSWAdministrative Assistants (Administration & Office Support)Parish Administrative Assistant (Part-time) – Job DescriptionThe Parish of Queanbeyan and District Anglican Church includes 5 churches and 7 congregations and is a part of the Anglican Diocese of Canberra and Goulburn:Christ Church, QueanbeyanSt Paul’s, BurraThe Parish owns and operates six low-cost accommodation units known as Beth Shalom behind the Christ Church precinct in Queanbeyan.The Parish is associated with:Karabar Housing Cooperative who provide low-cost accommodation in the Queanbeyan areaHOME in Queanbeyan who provide accommodation and care for people living with mental illnessSt Benedict’s Community Centre, located at Annie’s Place in Karabar, who provide meals, food distribution, care for the homeless and other support for those in the community who are in a position of needGeorge Forbes House and Aeralife nursing homes where it provides weekly services of Holy Communion.The Administrative Assistant provides a first point of contact for the community and as such needs to be sensitive to the needs of callers and visitors. The position also provides administrative support to the Clergy of the Parish and Parish Council.The position is twelve hours per week, with current hours being negotiable. There is also the opportunity to be able to work from home where this is appropriate.There will be a 6-month probation period for the successful applicant.Duty StatementThe Administrative Assistant provides administrative support to the Clergy and Parish Council of Queanbeyan and District Anglican Church. It is also the first point of contact for members of the community and as such needs to be sensitive to the needs of callers and visitors.Primary ResponsibilitiesMaintain the daily office routine with timely throughput of tasksAnswer phone calls, emails or letters and personal visits to the Parish OfficePrint orders of service and other papers and reports as requested by the Clergy and members of Parish CouncilUnder the direction of the Rector or Treasurer:Submit accounts received by email or post to the accountant for payment weeklyPrepare Surplice Fee Claim forms and Occasional Service Fee Claim forms as required and submit these to the accountant or Diocese for paymentRaise invoices for funerals, property rentals and other invoices as requiredCount and bank weekly collections and provide documentation to the accountantCollect and bank rents paid in cash for units owned by the Parish and for the Christ Church HallPrepare rental invoices for the Karabar PreschoolManage the Centrelink Centrepay facility used by the Parish for collection of rentsProvide administrative support to the Parish Clergy and Parish Council:Assist in the preparation of the annual Parish ReturnAssist in completing the annual Cemeteries and Crematoria ReturnMaintain the corporate calendarMaintain registers of Baptisms, Funerals and WeddingsBook SYNOD accommodation and meals for Clergy and 3 Parish SYNOD representatives as requiredBook accommodation and meals for Clergy attending Clergy Conference and Clergy RetreatsLiaise with the Rector in preparing, finalising and emailing both the weekly Parish News Letter and Sunday Reflection.Liaise with the Diocese, Parishioners, vendors and repairers as requiredParticipate as a member of the Beth Shalom Management CommitteeMaintain office supplies and maintain stocks of wafers, candles, etc.Other duties as may be required by the Clergy and/or Parish CouncilKey knowledge, skills, and experienceThe successful applicant will:Have a basic understanding of the Anglican Church and ChristianityBe able to work with pastoral sensitivity and confidentialityHave experience in organising an office with effective time managementHave experience working with Windows, Office 365, Zoom, DropBox, email and calendaringBe able to communicate effectively both orally and in writingBe able to prioritise work with interruptionsBe able to work both with and without supervisionOther requirementsThe Administrative Assistant is required to:Abide by the Anglican Diocese of Canberra and Goulburn Code of Good Practice and associated professional standardsAttend mandatory Diocesan Safe Ministry training and other training as requiredParticipate in and promote continuous quality improvement processesPromote an environment that is culturally safe and strengths focusedThe Administrative Assistant must possess or be able to obtain a:Valid and current NSW / ACT Driver’s LicenceValid and current NSW Working with Children accreditationAgree to police and criminal history checks conducted by Anglican Diocese of Canberra and GoulburnReports to:The Parish Rector – DirectOther Parish Clergy and Parish Council - IndirectKey relationships:Anglican Diocesan ServicesSt Benedict’s Community Centre, QueanbeyanHOME in QueanbeyanAeralife Nursing HomeLife Resources Centre, Queanbeyan
