Executive Assistant to the Diplomatic Security Division Senior Executive
We are seeking an experienced administration professional to work collaboratively across the Diplomatic Security Division (DSD). The successful candidate will provide specialist administrative support and advice to influence the decisions made by others.
The ideal candidate is highly organised, personable, flexible, and agile. They will understand customer centricity and be comfortable conversing and interacting with a range of internal and external stakeholders.
Candidates should have excellent interpersonal skills, as they will be the 'face of the office' interacting positively with various stakeholders.
Key responsibilities include:
* Managing the SES Officer's email inbox, calendar, appointments, and associated briefing requests.
* Coordinating and preparing meeting briefs, papers, minutes, and correspondence.
* Managing office systems and records using Microsoft Office, SAP, PDMS, and TRIM.
* Undertaking research and analysis to support project and administration tasks.
* Organizing domestic and international travel.
* Operating with discretion and using judgment in managing the flow of work and visitors.
* Working collaboratively across the department to achieve outcomes.
