Event Management (Advertising, Arts & Media)Full timePosition OverviewAs the Venue Booking Manager, you will play a key role in coordinating and delivering high-quality venue hire services, managing relationships with external clients, and ensuring the smooth operation of performance events across HOTA’s diverse venues. You will manage a dedicated team, oversee day-to-day operations, and work closely with HOTA’s Programming and Production teams to ensure events are successfully scheduled, coordinated, and executed.Key Responsibilities:Overseeing the day-to-day operations and management of the Venue Booking department.Serve as the primary point of contact for venue hires, responding to inquiries and ensuring the delivery of venue hire services to the highest standard.Ensure efficient venue scheduling and liaise with the Head of Programming and Producers to align bookings with programming criteria and event requirements.Manage and lead all administrative aspects of venue hire, including phone inquiries, email correspondence, venue cost estimates, contracts, and client meetings.Ensure accurate and timely financial reconciliation, including generating quotations, managing budgets, and settlement of costs.Build and maintain strong relationships with Producers, Presenters, and other stakeholders, both internal and external, locally and nationally.Provide accurate reports and data on venue occupancy and event KPIs to the Director, Programming and Presenter Services and other departments.Implement best practices and explore new systems and procedures to improve operational efficiency.The Ideal Candidate:Background in management, with demonstrated experience leading a team, overseeing day-to-day operations and fostering a collaborative and inclusive work environment.Relevant experience in venue operations and event management, ideally within large-scale venue or performing arts environments.Advanced office administration and computer literacy, with experience using event management systems such as Artifax.Experience with large venue operations and theatre systems.
