APS4 Administrative Assistant Provide Essential Administrative Support

Your new role As an Administrative Officer, you will play a crucial role in supporting a small, nationally dispersed team. Reporting to the Assistant Director, you will oversee the development of procedures and learning materials for operational staff. Your responsibilities will include reviewing and publishing documents, ensuring correct terminology, creating and managing intranet pages, auditing materials, consolidating archives, and providing comprehensive administrative support. You will also coordinate team activities and assist in the implementation of new systems and processes. Training on relevant systems will be provided.
This role requires the ability to obtain and maintain a minimum baseline security clearance. Duties: Review and convert Word documents to PDF. Publish documents on the intranet. Ensure correct terminology and update as needed. Create and manage intranet site pages. Audit published material and consolidate archives. Check for duplicate documents. Create flowcharts. Review video materials for outdated references. Take notes at team meetings. Monitor the team email mailbox. Coordinate team activities and schedules. Assist in the implementation of new systems and processes. What you'll need to succeed Strong organisational and time management skills Attention to detail and accuracy Proficiency in Microsoft Office Suite and other relevant software Ability to work independently and as part of a team Excellent communication and coordination skills Willingness to learn and adapt to new systems and processes Experience in a similar administrative role is preferred.
