I have partnered with a Federal Government Agency in the heart of Geelong to recruit an APS4 Executive Assistant for a full-time temporary assignment until March 2025 with a potential for extension.
Your new role
The APS4 Executive Assistant is responsible for undertaking moderately complex activities and tasks under general direction, within established procedures and guidance. This role involves significant interaction with internal and external stakeholders.
Key Responsibilities include but are not limited to:
* Document Management: Filing documents in Content Manager, maintaining SharePoint/shared drives, and managing spreadsheets/lists.
* Administrative Support: Processing invoices, actioning online requests, and assisting with onboarding and training new staff.
* Diary and Email Management: Managing diary commitments, triaging emails, and preparing meeting papers.
* Correspondence and Records: Preparing replies, handling confidential papers, and coordinating PDMS records.
* Meeting and Documentation Preparation: Scheduling meetings, preparing documentation, and ensuring compliance standards.
* Research and Logistics: Obtaining quotes, addressing equipment delays, and coordinating travel and events.
* HR and Finance Support: Accessing policies, processing credit card transactions, and managing LH accruals.
* Recruitment Activities: Understanding recruitment processes, updating staff moves, and coordinating recruitment requests.
What you'll need to succeed
* Demonstrated experience working as an Executive Assistant in a Government Organisation
* Strong organisational and project management skills.
* Ability to manage complex workflows and respond effectively to feedback and complaints.
* Experience in data management and reporting.
* Innovative mindset with a focus on continuous improvement.
* Excellent communication, collaboration, and written skills.
* Ability to work independently and as part of a team.
* Lived experience with a disability is highly desirable.
* Must be an Australian Citizen
