Job DescriptionAs the Executive Officer, you will provide senior administrative support and coordination across the ADF Careers - Adecco Executive Office. You'll play a key role in ensuring the smooth delivery of administration, day-to-day operations, quality presentations, information management, and communication.
You will: Provide high-level administrative and secretariat support for the Executive Office, managing the liaison and response to Commonwealth requests, ensuring escalation where required is actioned appropriately.Draft, manage, and execute executive responses, including ministerial responses, coordinating appropriate input and approvals to ensure accurate and transparent communication.Coordinate, draft and format executive briefing packs and presentations, to meet required timeframes and quality standards.Coordinate executive meetings, conferences, off-sites, and external visitors, ensuring required equipment, briefings and materials are available.Proactively ensure key deliverables and actions of the Executive Office are delivered on time, including pre-empting the needs of the executive team to clear information.Lead information management for the executive office: ensure transparent and accurate recording of information and document management.Collate and contribute to relevant reporting requirements, ensuring accuracy and timeliness of information.Coordinate project management actions requiring input from the executive office, ensuring provision of timely and accurate responses to the project teams.Support and manage the scheduling, documentation and minute taking of required executive meetings, in line with the Commonwealth and Adecco requirements.Maintain the highest ethical standards, professionalism, and confidentiality through all interactions with the Commonwealth, Adecco and all other stakeholders.Develop, manage, and maintain a high service level client relationship through the provision of services that meet or exceed the expectations of Defence and the ADF Careers - Adecco contract, further encouraging a strong and ongoing relationship between Adecco and the Commonwealth of Australia.Candidate's ProfileIf you have worked in a similar position or just looking for your next opportunity that will make an impact, we want to speak with you.
Your background will demonstrate: High level of understanding of administration principles, practices, and their practical application.Capability to provide strong administrative, organisational, and planning support to management and teams, to ensure the effective and efficient functionality of an office.High level experience in preparation and collation of executive briefing packs and executive/ministerial responses. A background in Defence writing is desired but not essential.Demonstrated high level of interpersonal, verbal, and written skills including the ability to liaise, influence and create positive relationships.Bachelor's degree (or equivalent) in Business Management, Business Administration, or related field.To apply for this position, you must be an Australian citizen and have the ability to maintain an Australian AGSVA security clearance.
