Position Overview:
As the Assistant you will be responsible for providing support to the CEO while overseeing internal project management of various events and the Pop! team. You will play a key role in ensuring the smooth operation of day-to-day tasks and the successful execution of projects from initiation to completion.
Key Responsibilities:
Executive Support:
1. Act as the primary point of contact for the CEO, managing schedules, coordinating meetings and taking notes.
2. Organizing and managing the CEO's inbox.
3. Attending meetings with the CEO to take notes and track project progress.
4. Organize and prioritize incoming tasks, ensuring that deadlines are met and the team is prepared for meetings and appointments.
5. Assist with booking travel.
6. Handle confidential and sensitive information with discretion and professionalism.
Program Management:
1. Monitor meetings, event logistics and assist in keeping teams on track.
2. Collaborate with the Pop! team on developing project plans and timelines.
3. Guide the Pop! team to achieve project objectives.
4. Escalate concerns to the CEO when needed to ensure timely resolution.
Operational Support:
1. Serve as the point person for the Pop! team’s communications, ensuring clear and efficient collaboration across all.
2. Assist in onboarding new team members, and provide training on operational systems and procedures.
3. Create and maintain standard operating procedures (SOPs) for internal processes.
4. Providing social media support and experience with Squarespace is a plus!
Qualifications:
Experience: 2+ years of experience as an Assistant or in a similar role, ideally within corporate event planning or marketing.
Education: Bachelor’s degree in business administration, event management, or a related field preferred.
Skills:
1. Strong organizational and multitasking abilities.
2. Excellent verbal and written communication skills.
3. High proficiency in Google Suite and project management tools (e.g., Asana, Trello, or similar).
4. Ability to manage multiple projects simultaneously and prioritize effectively.
5. Strong attention to detail and problem-solving skills.
6. Exceptional interpersonal skills and the ability to build relationships with vendors, and team members.
7. Proactive, resourceful, and adaptable to changing priorities.
8. Positive attitude, professionalism, and a client-focused approach.
9. Friendly, transparent, and sociable.
