About the organisation:
Medical Deans Australia and New Zealand (MDANZC) is the peak body representing professional entry-level medical education, training and research to ANZ. The members are in medical schools across the two countries, whose focus is on planning for, developing and supporting medical graduates.
About the role:
A role for a highly organized individual with exceptional written and verbal communication to join a small, but hard working and energetic team.
Provide personal administrative support and assistance to the CEO, including managing CEO schedule and appointments, organising associated documentation, and travel arrangement

* Coordinating internal, committee and working group meetings, and booking travel and accommodation as necessary
* Manage multiple inboxes and triaging communications
* Record keeping and database maintenance, including membership and consultation registers
* Providing high-level administrative assistance across the team as required with the ability to maintain a high level of confidentiality
* Coordinate requests for information from internal and external stakeholders and provides a professional first point of contact for enquiries
* Collating information for compliance with the legislative and regulatory requirements of the organisation’s reporting obligations
* Coordinating events and activities including sourcing venues, catering, arranging invites, collation of papers, formatting speech notes, preparation of slides
* Facilities management, ordering of office consumables, and liaising with third parties as necessary
* Stakeholder engagement, requiring both written and verbal communications
A bit about you:
To be successful in this role you will be an experienced, proactive and detail-oriented administrator with a desire and keenness to support a wider team.
* A Certificate IV in Business (Administration) or Diploma of Business is highly desirable
* Proven experience working as Personal Assistant, Executive Assistant, Team Assistant or Office allrounder role
* Well-developed information technology skills with proven competence in the application of Microsoft Office Suite, Zoom, Teams and SharePoint
* Demonstrated high level written and oral communication skills with the ability to communicate and liaise affectively at all levels, both internally and externally
* Flexibility and willingness to adapt within a constantly changing work environment, including a high level of responsiveness to fluctuating workloads
* Strengths in time management and ability to prioritise and manage workload and deadlines
* Attention to detail and good problem solving skills
