Sydney Investment Banking Contract or Temporary A leading global investment bank is seeking an Executive Assistant for an initial 12-month contract with view to turn permanent. The ideal candidate will ideally have 5 years’ EA/ PA/ TA experience ideally from financial services or professional services firms, along with strong communication skills. This role will be based in the office with maximum 1 day WFH per week. Key responsibilities: High touch calendar management; coordinating and scheduling internal and external meetings, including time zone management Considerable scheduling of (international and) domestic travel, including all on ground logistics Complex expense processing using concur Communicating and interacting internally with all levels of the division and across business functions, finance, human resources, and technology, as well as externally with clients and their teams Organising internal and external events, requiring organisation of approval, invites, rsvp management and function logistics Quickly learning and keeping up to date on systems Performing diverse, advanced and confidential administrative support functions including composing, signing and sending correspondence on behalf of your MD / the company Managing a large team of varying level bankers and a number of different and often conflicting objectives, projects or activities at one time. Involvement in high‐level client contact and exposure to sensitive information, must use considerable tact, diplomacy and judgment Comprehensive phone coverage and broader EA team support Serving as a resource for basic company policies and procedures Experience : 5 years Investment Banking or financial services support experience, executive‐level support preferred Strong attention to detail, ability to work effectively under pressure and with time constraints Polished and professional phone and email communications Significant time management, organisation, multi‐tasking and prioritisation skills Concur or similar experience processing travel and expenses Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint) Exemplary demonstrated work ethic Ability to learn quickly and take on new responsibilities The ideal candidate will ideally have a 5 years of prior EA/ PA experience ideally from financial services or professional services firms along with strong communication skills.
