Project and Contract Administration Officer
QBuild is a commercialised business unit of the Queensland Government. It has been Queensland Government's builder for over 160 years, playing an important role in communities across the state by building and maintaining government-owned assets such as schools, social housing, police stations and correctional and health facilities.
About the role
You will play a pivotal role in supporting QBuild's ambition to strengthen Queensland's building and construction industry by providing and coordinating project and contract administration support, ensuring compliance with procedures, and assisting Project Managers in project delivery.
Duties and skills involved:
* Provision of project and contract administration support to assigned Project Managers and Superintendents, including:
o project and work order creation and maintenance.
o entering and maintaining planned and approved project budgets.
o cost monitoring reporting including monthly billing activities, including review of unbilled costs, checking of final and draft billing files, investigating, and resolving billing issues.
o regular review of system data to identify inaccuracies and prepare required journals and credits and make system changes with required approvals as required.
o generation of purchase requisitions and processing of accounts for payment within critical timeframes, monitoring and resolution of open purchase orders.
o monitoring of business system project, work order and financial data quality through the review and running of variance analysis reporting to identify and resolve issues and implement changes to minimise errors and data exceptions on work orders and projects.
o assist Project Managers with preparation of accurate and timely regular and ad hoc project and program reporting for proposals to both internal and external stakeholders.
o highlight issues of poor or inaccurate project profitability to program and business manager and ensure system data reflects accurate project information to manage financial performance.
o reconciliation and closure of projects and work orders in a timely manner.
* Processing of contractual payments, ensuring adherence to all contracts administration procedures.
* Preparation of contractual letters and maintenance of records and files in accordance with records management procedures.
* Processing and recording of key information in corporate systems, including Ellipse, PQC, and other in-house databases and systems.
* Recommend, develop, and implement administrative processes that support improved work management and service delivery.
* Promote a safe and equitable work environment and ensure that all staff understand and comply with equity, anti-discrimination and workplace health and safety requirements.
