Job Description Summary
The facilities Coordinator is responsible for controlling the reactive and preventative maintenance program to ensure the site operates within the Client's and Company's requirements and guidelines in a safe and timely manner.
About the role
Reporting to the Facility Manager and providing support to all other functions.
The Facility Coordinator will be responsible for assisting with the reactive and preventative maintenance program for a correctional facility to ensure the site operates within the Client's and Company's requirements and guidelines in a safe and timely manner.
Predominantly a scheduling-based role with the requirement to enter the prison to liaise with clients and contractors as required.
What You Will Be Doing
The Facility Coordinator assists in providing operational Facilities Management Services on behalf of the client.
This role will be a key contact involved in day to day operations including but not limited to:
Coordinate cell refurbishment programCoordinate Minor Works including providing quotes to OM and arranging worksDelegation of required works, both reactive and preventative to contractors or onsite tradesClient invoice review and updates at EOMConduct contractor spot checks (minimum 2 per month)Review and accept contractor SWMSEnsure all reactive and PM jobs are completed within KPIComplete CDOs to ensure PM schedule is kept up to dateAssist with maintaining asset registers via Change of Direction OrdersAssist with annual condition assessment of assets on site for Asset Management PlanFollow up vendors for submission of invoices in timely mannerReview monthly accruals against PM and reactive works, and follow up outstanding invoicesUndertake compliance/risk assessments as directed by Performance, Reporting & Compliance ManagerEnsure contractor personnel are appropriately inducted with C&W and DJCSProvide escorts where required, including booking of escorts and updating registersIssue and manage required permits to work (e.g.
confined space, hot work, work at heights, fire isolations, etc.
)About You
You will be a self-motivated individual who thrives in a team environment and works well autonomously.
You will also be proactive in the delivery of services to meet or exceed the project KPIs and mitigate any project abatement risk.
Minimum requirements include:
2 years' experience in Administration and/or Contractor Scheduling rolePrevious PPP experience will be highly regardedIntermediate or Advanced skills in Microsoft Office programs (Word and Excel essential)Experience in JDE E1 highly desirable (or similar web-based CMMS software)Valid Victorian Driver's LicenseQuality-oriented with a high level of attention to detail/accuracyStrong communication and interpersonal skillsDemonstrated analytical or problem-solving skillsAbility to seek assistance as requiredDemonstrated capacity to address complex problems within a changing work environment.Why join Cushman & Wakefield?
