We Lead with Empathy, deeply engaging with the needs of our communities and clients, creating architecture that resonates and inspires.Key responsibilities:Assist Submissions Manager with the smooth and timely delivery of competitive tenders / proposals in response to government and private tender requests for architectural, planning, urban design, interior design, signage and wayfinding projects.Ability to efficiently work backwards from a deadline and ensure final production/delivery time.Ability to draft and proof text to create and maintain COX collateral.Maintain quality control in production, typography + proof reading.Assist other COX studios with sharing of information.Download tender briefs/clarifications as instructed.Generate job numbers for submissions.Maintain submissions folders/filing.Attend / assist in tender inception meetings.Prepare submissions based on COX templates and in liaison with the Director/Associate leading the submission.Assist in preparing tender presentations as required and instructed.Submissions / Information Libraries / Project Database:Assist in maintaining submissions content library and any associated documents including project data sheets, images, diagrams etc.Regularly maintain/update Sydney CVs.Obtain and update referees as instructed.Assist in capturing / maintaining project data and project reporting on Deltek Vantagepoint.Assist Submissions Manager and marketing coordinator as required, and liaise with Graphics in preparing content for advertorials or contributions to client brochures, project launch or awards handouts etc.Assist Submissions Manager with preparing and monitoring awards calendar and submissions.Inter-Studio Communication (nationally):Assist national studios with submission and marketing requests by providing information + images, including references and CVs etc.Work Health & Safety:Takes reasonable care for their own health and safety and takes reasonable care that their acts or omissions do not adversely affect the health and safety of others.Complies with COX’s workplace safety procedures.Applies a broad knowledge of COX’s Safety Management System, WHS legislation and the principles of risk management.Knowledge and experience:At least 2-3 years’ experience in a similar role.Be adept at understanding tender requirements and deadlines.Excellent interpersonal skills.Ability to build effective relationships.Excellent communication and liaison skills with senior management and key stakeholders.Ability to work under pressure with simultaneous deadlines.Strong attention to detail and accuracy.Proactive, hands-on approach with a willingness to learn.Ability to resolve complex issues.Adaptable and forward thinking.Proficiency in Adobe InDesign, Photoshop and Microsoft Suite.
