Primary objective This position is the first point of contact for enquires to a Community Corrections office, be responsible for purchasing and processing accounts, organise and input data pertaining to programs administered by the office. Key duties and responsibilities 1. Provide administrative support to the Community Corrections Office and staff, organise meetings and taking of minutes for various boards and committees. 2. Attend to front counter duties and refer offenders reporting as part of their statutory conditions to an appropriate staff member, maintain a receptionist role for telephone calls, visitors and contractors. 3. Maintain petty cash in accordance with Northern Territory Public Service procedures/regulations, maintain resources and take responsibility for purchasing and processing accounts for payment including those by Corporate Credit Card. 4. Input data pertaining to programs administered by the Office and maintain the file registry system. 5. Organise staff travel/accommodation as required. Selection criteria Essential 1. High level of self-motivation and the ability to use initiative and work under pressure; a proven ability to work independently with minimal supervision and work as part of a team. 2. Good communication skills and a proven ability to use tact and discretion when dealing with difficult enquiries/people. 3. Proven experience in a reception or front office environment with a demonstrated competency in the operation of Microsoft Office and similar software programs. 4. Highly developed interpersonal skills including written and verbal communication skills with an ability to handle sensitive matters and maintain confidentiality. 5. An ability to interact effectively with people from diverse cultures, whilst maintaining a pleasant and polite manner. Desirable 1. Knowledge of the objectives, structure and legislation of the department. Further information The Department of Corrections has a Smoke Free Policy.
