What you would be doing: Assist in the Administration of the Preventive Maintenance program for guestrooms, public areas, staff areas, safety systems, food and beverage, banquets and common areas.Assist in scheduling and payroll with Director, FacilitiesMaintain all Engineering staff daily attendance and payroll forms; and provides them to Talent and Culture as requiredMaintain all Engineering overtime recordsEnsure safekeeping and filing of all contracts, financial records, energy reports, etc.

Updating in GAIA 2.0 as required.Supervise and budget the use of stationary within the Engineering Department.Receive maintenance requests from guests and staff ensuring Work Orders & Service Requests are utilized for tracking.Assist in the prioritization and assignment of tasks to the engineering team.Assist in the monitoring and maintaining of inventory.Assist in the preparation of all report documents, and maintains and files all equipment operations log sheets.Be an effective member of the Emergency Response and Crisis Team.Assist in ordering parts, supplies, tools and shop materials.Aid in the administration of the Engineering Department with purchase orders, inventory, filing, documentation, internal and external guest requests, and dispatching and technical support.Work closely with the Director, Engineering to help oversee the successful completion of projects and renovations.Perform any and all other tasks, which are assigned by management.Support the Engineering Department Health & Safety program.Actively participating and promoting the Fairmont Waterfront vision, environmental program and sustainable operations.Draft agenda and take minutes of monthly departmental meetingUphold the highest standard of internal and external customer service at all times. Qualifications
Minimum 1 year administrative assistant experience in the hospitality industry and/or in an engineering environment.Previous work experience on computers and experience with MS Word, Excel, OutlookExperience with Birchstreet, Gaia 2.0 and Dayforce an assetMust have strong organizational and prioritization skills.Must be able to work effectively unsupervised and meet deadlines.Strong business communication skills are necessary.Team player with strong initiative, a calm demeanor and professional approach.Previous background in an Engineering/trades environment and a strong understanding of the demands of a hotel environment would be an asset.A post-secondary education in Hospitality Management would be an asset.Knowledgeable in all regulations such as building codes, fire and health department requirements.Experience with purchase orders, payroll systems and scheduling employees.
