The team
ASIC's Enforcement and Compliance Group (ECG) is responsible for the conduct of ASIC's initial inquiries, compliance and enforcement work across all sectors excluding markets. The ECG comprises Investigation and Enforcement Action, Enforcement Inquiries and Compliance Enforcement (Evidence) Services and Enforcement Policy and Practice.
The Business Management Unit is responsible for directing and undertaking business management and support services for ECG.
The role
You will be accountable for:
* Coordinating matter governance and executive meetings, including preparing and/or reviewing terms of reference and meeting papers such as agendas, reports and conflicts of interest declarations
* Attending and taking minutes at matter governance and executive meetings, recording action items and decisions and communicating them to relevant stakeholders. Following up status updates as required
* Establishing and maintaining procedures and registers to support critical governance arrangements and business management operations, including decisions, referrals, delegations and conflicts of interest and matter allocation
* Sourcing and collating information to aid in the production of timely and accurate reports to ECG Leadership and Commission. Drafting papers for governance meetings as required
* Overseeing the establishment of new ECG matters in CRM in consultation with Finance and Enforcement Support (Evidence Services) and coordinating ECG Business Plan reporting in relevant systems through engagement with various stakeholders
* Supporting the Senior Manager through coordination of parliamentary liaison briefings and other external reporting requirements and coordinating ECG staff offsites and periodic forums including preparing agendas, engaging with guest speakers and managing associated logistics
About you
* Relevant tertiary qualifications in business or business management experience in a regulatory agency, legal services or professional services is desirable.
* Experience with organising meetings and provision of senior administrative, business management and/or secretariat services, ideally within a regulatory agency, legal services or professional services environment
* Demonstrated excellent written and verbal communication, with proven accuracy and attention to detail skills
* Experience in effectively presenting information to different target audiences through strong business writing skills
* Excellent customer service and internal stakeholder management experience including building, maintaining and utilising networks and relationships
* Strong analytical and problem-solving skills for analysing, investigating and resolving stakeholder and system issues
* Demonstrated organisational and time management skills with the ability to work under pressure, meet tight timeframes, manage competing demands, and maintain confidentiality and proficient in the use of Microsoft Office (Word, Excel and PowerPoint), Microsoft Outlook and information management systems (SharePoint experience desirable)
* Demonstrated ability to work autonomously or with little direction, providing high level supporting to senior staff and being accountable for outcomes
