We are seeking an experienced and motivated Business Operation Administrator, with expertise in job allocation, scheduling, and costings, to join our fast-paced and dynamic team in Rutherford, NSW.
Working in our recently renovated office, you will be part of a small, supportive team, ensuring the smooth and accurate operation of business and administrative functions. This role requires adherence to company policies and procedures while contributing to the continued success and growth of the organisation.
* Role: Business Operation Administrator
* Type: Permanent Full-Time
* Hours: 38 hours per week
* Location: Rutherford, NSW
Core Responsibilities:
* Assist coordinate driver schedules, ensuring jobs are accurately allocated in the internal system.
* Communicate accurately with drivers to ensure efficiency.
* Monitor driver compliance with breaks, industry standards, and regulations.
* Act as a liaison between the company and clients to maintain strong relationships.
* Manage reconciliation of accounts payable and receivable.
* Support payroll calculations and ensure timely processing.
* Assist with business quotations tailored to client needs.
* Identify and pursue new sales opportunities to expand the business.
* Build and maintain strong relationships with existing customers.
* Represent the company in meetings and industry events.
* Foster a productive and harmonious work environment within the organisation.
* Provide operational support to ensure smooth business functions.
* Assist management with daily tasks and administrative needs.
* Execute directives from the business owner to achieve company objectives.
* Contribute to business development and requirements.
What We’re Looking For:
* Proven experience in customer service and job scheduling, with a track record of effectively managing client expectations.
* Excellent communication skills, both verbal and written, with the ability to tailor messages for diverse audiences.
* Strong multitasking abilities to manage competing priorities in a fast-paced environment without compromising quality.
* Dependable, flexible, and proactive in problem-solving, with a solutions-oriented mindset.
* High attention to detail and accuracy, especially when reconciling timesheets, GPS data, and preparing costings and invoices.
* Proficiency in using scheduling software, GPS tracking systems, and accounting tools.
* A collaborative team player who can also work independently and take ownership of responsibilities.
* Strong organisational and time management skills to ensure efficient workflow and meet deadlines.
* Experience in the transport or logistics industry is highly desirable.
* General understanding of heavy machinery is highly desirable.
* A positive attitude and willingness to adapt to the evolving needs of the business.
* Practical experience in similar roles, particularly in Safety Compliance and Business Administration duties, is essential.
