About the Role
This is a Fixed Term, Full Time Position until 31 December 2025.
The Program Support Officer is responsible for providing delivery support for projects and improvement initiatives to the Loddon Mallee Maintenance Delivery team.
This position reports to the Team Leader, Loddon Mallee Northern, and works closely with the Program Development Leads, other Team Leaders, and Business Support Officers.
The Program Support Officer is accountable for providing project support ensuring deliverables, outcomes, and plans are coordinated effectively, working in consultation with the delivery team and collaboratively with internal and external stakeholders.
* Project Delivery Support – Provides specialist project support to the delivery teams including coordination of project and stakeholder meetings, risk and issues maintenance, reports, briefings, presentations, procurement, and administration of contracts & services used in projects and programs, ensuring high-quality records management structures and processes are established and maintained for the project team.
* Project Control and Monitor – Supports the delivery teams with the management of project artefacts, prepares project scopes and briefs, and contributes project expertise to complex projects with limited supervision. Independently performs project work, within specific areas of expertise, including researching, analysing project data, and developing recommendations to ensure project deliverables are met.
* Stakeholder Relationships – Provides specialist project support to the delivery teams in the development, maintenance, and influence of effective internal and external stakeholder relationships including with senior management teams and key project stakeholders.
* Processes Compliance – Assists with the compliance of the financial and procurement processes for the project team ensuring they are managed and maintained in a timely and accurate manner, including providing advice and assistance, in line with DoT frameworks, guidelines, and budgets.
* Health and Safety - Promotes and supports safe, inclusive, and flexible team operations.
Key Selection Criteria
The Department of Transport and Planning is seeking a dedicated Program Support Officer to join our team. Qualifications and Experience
Mandatory
* Proven experience in a project delivery support role in a large organisation, ideally in a government context.
* Experience and proficiency in MS Office packages, Confluence, MS Planner, MS Project, Zycus, Oracle, MS Teams, SharePoint, and other project delivery-related tools.
* Strong stakeholder engagement and influencing skills.
* Proven ability to be flexible and adaptive in a fast-paced delivery environment.
* Driver’s License.
* Ability and willingness to travel and work across locations within metropolitan and regional Victoria.
* Formal qualification (or working towards) in Civil Engineering, Project Management, Business Administration, or similar.
