The ideal candidate will help manage claims, coordinate with project teams, and contribute to maintaining a positive gross margin on each project. This position is critical in streamlining administrative tasks, estimating, and ensuring accurate and timely documentation. Key Responsibilities With Compliance Manager Weekly Schedule Overview Monday - Review & Planning Conduct weekly administrative review of new claims via XactAnalysis (XA)Respond to adjuster and reviewer communicationsCoordinate with Project Managers (PMs) to create weekly action plansIdentify invoice-ready projects and update invoicing dashboardsReview negative gross profit reports and ensure XA complianceDraft and revise estimates with input from PMs and tradesMaintain and update compliance logsAttend invoicing review meetings Tuesday - PM Meetings & Weekly Execution Host meetings with Compliance Manager for PMs for file maintenance and sprint planningLead weekly team project review meetingsAssist in claims documentation and estimate draftingEngage and follow up with tradesSupport teams with operations, estimating, and invoicingOversee emergency work documentation and expense tracking Wednesday - Estimating Focus Dedicate time to thorough estimating and documentationMaintain and reconcile compliance logsConduct file reviews and ensure XA updates are accurate Thursday - Management & PM Collaboration Attend weekly management huddleMeet with PMs for project tracking and updatesContinue compliance log updates and estimating tasks Friday - File Maintenance & Planning Finalize administrative paperworkReview and revise estimatesDistribute invoiceable assignment listsProvide final weekly updates on ongoing claimsEvaluate performance and prepare strategies for the following week Recurring Tasks Biweekly Reconcile job logs with XA entriesEnsure all assignments are closed/invoicedRevise estimates prior to invoicing Monthly Audit XA files for revenue assuranceParticipate in business development planningConduct project reviews and strategy updates Annually Lead performance reviews and strategic planning sessionsFacilitate IICRC compliance and staff trainingContribute to business development and change management initiatives Requirements Previous experience in restoration, insurance, construction, or project coordination is preferredFamiliarity with XactAnalysis (XA) or similar claims management systemsStrong organizational, communication, and administrative skillsProficiency in documentation, estimating, and compliance reportingAbility to multitask and prioritize in a dynamic environmentTeam-oriented with excellent interpersonal skills What We Offer A collaborative and mission-driven team environmentOpportunities for career development and growthTraining and support in industry compliance and project managementCompetitive salary and benefits package Benefits: Dental insuranceHealth insuranceOpportunity for advancementTraining & development Apply Today!If you're a proactive problem-solver who thrives in a structured yet dynamic role, we want to hear from you.
