The Property and Facilities Maintenance Officer works within the Facilities Management Section, which is a multi-disciplinary team responsible for the efficient administration and management of the Mint’s building services. They provide high-quality and timely services, requiring organisational and project management skills. The role has two functions: administrative and maintenance.
Administrative function
The administrative function provides support to the Facilities Management Section. Responsibilities include managing administrative functions related to facilities maintenance, writing reports and submissions, undertaking financial tasks such as management of invoices and purchase orders, and developing documentation to support the continuous work of the section. They liaise with a variety of stakeholders to support project delivery and work closely with the maintenance function to support day-to-day maintenance operations.
Maintenance function
The maintenance function is responsible for managing day-to-day maintenance operations across the Mint, including performing minor maintenance. Responsibilities include allocating work and coordinating drawings for external trades and contractors, contributing to maintenance projects, and assisting with facilities-related procurement and contract management. The maintenance function works closely with the administrative function to support the delivery of facilities and maintenance services.
The duties of this position include:
1. Managing day-to-day maintenance operations within the Mint, including escorting and supervising external trades and contractors on site.
2. Allocating work and coordinating drawings, specifications, and documentation for external trades and contractors.
3. Attending to Facilities Maintenance (FM) and Property Service Provider helpdesk requests, including performing minor maintenance.
4. Liaising with internal and external stakeholders and providing technical support to assist in delivering property and facilities maintenance tasks.
5. Contributing to the Mint’s building maintenance projects.
6. Preparing reports, written submissions, and business cases relating to property and facilities maintenance, and supporting the procurement of goods and services.
7. Raising purchase orders, tracking invoices, and receipting goods in ERP.
8. Developing documentation including work instructions, risk assessments, and operating procedures.
9. Assisting with procurement and contract management activities in accordance with Commonwealth Procurement Rules.
10. Ensuring compliance with all statutory requirements, including work health and safety.
Security clearance
This position requires a Baseline security clearance. The successful applicant will be required to obtain and maintain a clearance at this level.
