St. Michaels University School (SMUS) is seeking an Admissions Assistant to join our high-functioning and dynamic Admissions department. Reporting to the Director of Admissions, the Admissions Assistant supports the daily tasks of the Admissions office as well as managing key functions and events. The Admissions Assistant works collaboratively and directly with all members of the Admissions team on a daily basis. This role liaises with all members of the school community including current, past and prospective students and parents; alumni; faculty and staff.
Work Schedule:
Department hours of work are from 8:00 AM to 4:00 PM Monday to Friday. Due to the nature of this role, the Admissions Assistant will occasionally need to be available outside of regular work hours.
The successful candidate will have the following skills, background and interest:
1. Prepare weekly and monthly enrolment reports.
2. Track and report on statistics as required by the Director.
3. Communicate with applicant families for ‘The School Visit’, including interviews and testing and preparing the weekly visitor schedule.
4. Manage, plan and participate in admission events, with a key administrative responsibility for New Boarder Orientation, New Day Student Welcome and Open House.
5. In preparation for the arrival to St. Michaels University School (SMUS) by Day and Boarding families, manage all communications and be the main point of contact, ensuring their questions are addressed.
6. Invigilate weekday testing, if required.
7. Support administrative work to do with educational consultants, invoicing of tuition and boarding fees and agent commissions.
8. Work with and coordinate the retrieval of information with the office of University Counselling (timetables), the Health Centre (student health forms) and the Data Centre (report cards) in preparation for new students.
9. Preparation of all study permit documentation for new International and North American students, including keeping track of the application status of each student.
10. Undertake organizational and administrative tasks (database management, letter-writing, project management).
11. Work with the Marketing department to coordinate admissions needs (travel calendar, web pages, print inventory, and other as needed).
12. Work with a variety of commercial and wholesale suppliers.
13. Provide guidance and recommendations for proper functionality as it relates to the Admissions Enrolment Management system.
Qualifications:
1. Minimum of 3 years related experience.
2. Post-secondary education in Office Administration, Office Management, Business Administration or related discipline.
3. Knowledge of a second language in addition to English is a strong asset.
4. Energetic, outgoing, independent worker who thrives in a collaborative environment and shows initiative.
5. Strong communication, interpersonal, and relationship-building skills with a genuine interest in people and an understanding of the importance of confidentiality, professionalism, customer service, and collaboration.
6. Excellent organizational and time management skills, capable of managing multiple projects and competing priorities.
7. Demonstrated superior skills in Excel: ability to work with a large volume of data on multiple worksheets using page tabs and consolidating data using formulas; ability to use filters and all database utilities; set up Excel to complete documents mail merge with MS Word.
8. Demonstrated advanced skills in Microsoft Word: ability to perform mail merges with an understanding of formatting of template documents (letters/labels); use tables and understand how to insert, format, etc.
9. Demonstrated ability in event planning.
10. Polite, personable, and professional telephone manner.
11. Flexible to work weekends and evenings occasionally.
Annual salary range: $55,088 – $64,791
Criminal Record Check:
Must pass and maintain a clear Solicitor General criminal record check for the purpose of working with children.
