Office Administrator & Executive Support B. Braun Avitum Australia Pty Ltd – Sydney NSW We are looking for an organised and enthusiastic Office Administrator/ Executive Support to join our dynamic Head Office and Service Centre Team to oversee the day-to-day reception and general administrative duties while supporting our Executive Team and Managing Director. Reporting to the Managing Director, your key focus will be managing office operations, organising supplies, coordinating meetings and catering, and ensuring a well-maintained work environment. In support of the Executive Team and Managing Director, the role involves scheduling appointments, arranging travel, taking minutes at the executive meeting, and preparing reports and presentations. Your Responsibilities Office Administration: Oversee day-to-day office operations, ensuring compliance with company policies. Manage office supplies, supplier agreements, and kitchen inventory. Organise mail, couriers, name badges, business cards, and uniform stock. Coordinate catering and ensure meeting rooms are prepared and equipped. Assist with procurement for cost efficiency. Liaise with building management and maintenance. Engage in office projects and support workplace health and safety initiatives. Provide adhoc administration support for the Renal Care Centres. Executive Team Support: Provide administrative assistance to the Managing Director and Executive Committee. Schedule and organise meetings, appointments, and travel for the Managing Director. Document minutes for Executive Committee meetings and prepare reports and presentations. Handle filing and documentation with discretion, especially concerning confidential matters. Arrange travel and accommodation for international guests. About You Ideally, you will have: Several years' experience in office administration and managing multiple stakeholders. Proven track record in meeting conflicting deadlines and prioritising tasks from multiple stakeholders. Excellent attention to detail and professional handling of confidential information. Self-driven, with the ability to work independently and in a team across various business levels. Proficiency in Microsoft Word, Excel, and PowerPoint. Quick learner with the ability to adapt to new technologies. Experience in the medical industry. Familiarity with SAP.
