About Guide Dogs Victoria: Guide Dogs Victoria is a leader in breaking down barriers that enable people to live life without limits.We specialise in providing high quality and safe services and supports to people living with low vision or blindness and other disabilities.We are one of Australia's most trusted charity and an employer of choice in the disability and aged care sectors.We recognise and celebrate the diversity of our employees and volunteers and the benefits this brings to our organisation.Our people enjoy an inclusive and culturally safe work environment free from all forms of discrimination.Guide Dogs Victoria is a place where talent is recognised and innovation is encouraged.About the Role: This position reports to the Brand and Marketing Manager.With formal management responsibilities for an Events Coordinator the role works closely with other team members within the Marketing team.This is a permanent, full time, on-site role.Events Management Develop an annual event calendar including goals, timetables and strategies, ensuring all events are consistent with the vision and values of Guide Dogs Victoria.These events are across Client Service camps/programs, Fundraising and Marketing/Corporate Services.Coordinate and execute events ensuring event objectives and target attendance levels are met.Work in conjunction with any external event companies on major events, and oversee the relationship with those organisations.Support the Brand and Marketing Manager to identify opportunities for financial or in-kind support for events from sponsors or corporate partners and Support the securing of event sponsors as required.Coordinate ambassador dogs and puppies for events, in line with policies and procedures.Coordinate all logistical support including in-house support and external suppliers (such as designers, printers, caterers, venue hirers, accommodation and vehicle hire) in line with budgets and event requirements.Contribute to the development of event templates and prepare and deliver all event related information including: Project plans and timelines, invitation lists; run sheets and any accompanying briefing notes, event related collateral (such as invitations and brochures) and event maps and risk assessments.Prepare event budgets and ensure expenses remain within the event budget as approved.Coordinate bookings of any internal or external equipment, ensuring that equipment is maintained in good working order.Analyse and report on post-event surveys.Attend events and support overseeing their successful delivery to relevant stakeholders, as required.This includes Bump In and Bump Out.Support the Event Volunteer program in VIC and ensure all event volunteers are trained and supported.Ensure all volunteers are communicated to and equipped to execute events to brief.Support the Marketing Manager with public relations for Victoria in particular for events, campaign & logistics for media opportunities.Position Administration Actively participate in the development and implementation of departmental objectives and complete other duties when requested to ensure their achievement.Direct and supervise an events coordinator and any volunteers within area of control, ensuring adherence to safe work practices at all times.Provide accurate written information including accessible, clear and informative reports and communications.Participate actively in staff meetings and share information to improve the work environment and outcomes.Demonstrate initiative and contribute to ideas for improving ways of working and generating ideas for innovation.Keep abreast of new developments within area of responsibility Attend after hours Guide Dog Victoria events and activities as required from time to time.About You: Qualifications Tertiary qualifications in a related field such as marketing or events 3 or more years of experience in either a marketing or events role, with capacity to carry out the role degree of autonomy.Knowledge, Skills & Previous Experience Solid knowledge of event management through prior experience in promotions, marketing or fundraising.Great organisational and time management skills with the ability to work to deadlines.Good project management skills.The ability to work well and in collaboration with all levels of the organisation.Ability to ensure that events are to budget and to brief.Good presentation skills.Solid networking skills.Able to manage the physical demands and requirements of the job.Demonstrates a strong client and customer focus and a commitment to person centered service practices.Works effectively with Volunteers.For more information please email enquiries to Pauline at: ******.
