Responsibilities
Our client is a global Japanese company and they are seeking a Japanese Speaking Administration Officer with great communication to carry out a range of administrative and office management duties.
Key responsibilities will include:
EA for Managing Director / Office Management
1. Coordinate travel arrangements, schedule meetings, and assist with expense reconciliation.
2. Provide support for business travelers
3. Office Management (Ensuring a Safe, Clean, and Efficient Workplace)
4. Greet and manage visitors, handle phone calls and mail, and oversee reception duties.
5. Order and track office supplies, and assist with expense reconciliation.
6. Maintain cleanliness in the kitchen area, including coffee machines.
HR and General Affairs
7. Provide Employee Benefits and Administration Support for local staff, expatriates, and/or expatriates from group companies (arranging visas, housing, health insurance, memberships, subscriptions, mobile phones, etc.).
8. Develop, communicate, and enforce internal policies, regulations, guidelines, and training programs.
9. Oversee contracts with suppliers, manage assets and documentation, and provide support during audits.
10. Organize and coordinate monthly meetings, as well as plan and execute internal events. Forward vendor invoices to the accounting department and coordinate with the settlement team for processing.
IT Support
11. Serve as the primary point of contact for IT issues, troubleshoot problems, and escalate as needed to appropriate personnel.
12. Address IT-related inquiries and reports from headquarters and Asian offices.
13. Aanage IT equipment, licenses, and user access rights.
