Executive Assistant (APS5)
Our Commonwealth Government client is seeking to engage an experienced Executive Assistant at the APS5 level to join their Electricity Division and provide comprehensive administrative support to the Head of Division (HoD).
An initial 6-month labour hire contract is on offer, with possible 6-month extension.
This full-time role requires working from the office in Canberra, ACT.
Please note: only Australian citizens with an ability to obtain and maintain Baseline security clearance can be considered for these roles.
Duties:
* Calendar Management: Maintain and update the HoD's calendar, schedule meetings, book rooms, and provide timely notifications for meetings.
* Email Oversight: Monitor and categorize the HoD's inbox, respond to emails, manage meeting requests, and ensure deadlines are met.
* Clearance Tracking: Track and manage clearance requests for the HoD, schedule reviews, and follow up on approaching deadlines.
* Financial Administration: Handle travel bookings, reconcile expenses, and manage receipts in Expense8.
* Daily Materials Preparation: Prepare and update daily folders with necessary materials, including a printed calendar and digital files in OneNote.
* Administrative Support & Culture Building: Maintain office supplies, manage communication distribution lists, organise leadership meeting agendas, update the division organisation chart, and foster divisional culture through events and SharePoint management.
Requisite skills/experience:
* Demonstrated experience providing high level administrative support in a fast-paced environment.
* Experience working in a senior manager’s office in the public or private sectors.
* Good knowledge of the Microsoft Office suite of applications.
* High level of discretion, confidentiality and good judgement.
