We are a Luxury Boat Brokerage & Marina located on the water at Sovereign Island. We manage and sell luxury vessels from 40-100ft and are looking for an enthusiastic and switched-on administration extraordinaire to join our team. This is a versatile and rewarding position, encompassing contract administration, marina and office administration, accounts, sales support, and event coordinating. In your new role you will:Personal Assistant to Director including diary management, travel coordination, assistance with personal tasks and errands, screening calls, speaking to clients and other external stakeholders on his behalf.Contract administration – Organise and monitor all sales contracts and financial transactions to settlement, ensuring terms are being met and followed by critical dates, providing support to the sales team, and following up on deposit and settlement paymentsSettlement – liaising with sales staff, vendors, and purchasers to ensure the boat is settled correctly, handover of maintenance records, Queensland Transport documents for registration transfer, clear title, liaising with finance companies, obtaining insurance quotes, coordination of settlement gifts for new and brokerage boats.Update and maintain listing sites, presentation brochures, mail chimp mail outs, promotions, and social media platformsManagement of Marina berthing schedules and payments for vesselsAccounting - Xero accounts, invoicing, payments, reconciliation, transfers monitoring settlements, and marina accounts.Assisting with event management including internal staff events, client social events, weekend getaway trips, product launches, and Boat Shows. This includes coordinating the event on the day(s) leading up to it, from purchasing food and beverages, overseeing caterers, entertainers, and wait staff, setting up the event, greeting guests, and being on-site for anything that may arise throughout the event.About YOU:Competent in Xero, MS product (Outlook, Word, Excel), Mailchimp & CanvaOffice administration experience is a mustAble to work unsupervised and take initiativeStrong work ethicAn interest or experience within the Marine and Boating industryThis is a full-time role, Monday – Friday 9 am - 5 pm. Some weekends may be required when events are being held.
